The Legal Secretary will provide all aspects of administrative support to attorneys within the department. This position is responsible for preparing and processing legal documents and papers, such as corporate documents, closing documents, memos, and other client correspondence.
Most Important Responsibilities
- Provide secretarial support to assigned attorneys which may include typing, drafting documents, answering phones, scheduling appointments, calendar management, dictation, and opening and distributing mail.
- Handle sensitive, confidential information and ensure that day-to-day support for the team runs smoothly.
- Prepare legal documents, correspondence, memos, letters, and reports and assist in preparation for presentations.
- Send and retrieve documents from Records as needed and follow workflow procedures related to opening/closing matters and generating engagement/disengagement letters.
- Answer phone, and deal with routine inquiries for both internal and external contacts.
- Maintain attorney calendars and contact lists.
- Arrange all aspects of both internal and external client meetings and conferences.
- Coordinate business-related travel arrangements for direct report attorneys.
- Create and edit documents, mail mergers, charts, graphs, tables, etc.
- Practice helpful, proactive, and professional communication always when dealing with internal and external clients.
- Assist with billing process and act as a liaison between attorneys and billing departments to review pre-bills and complete the billing process.
- Track payments and follow up with attorneys and clients as appropriate.

- Bachelor’s Degree
- 1-2 years of professional experience
- Keyboarding skills of at least 65 wpm
- Advanced skills in MS Word, Excel, Outlook, and PowerPoint
- Strong written and verbal communication skills
- Knowledge of format, legal procedures, and specialized terminology
- Initiative to build on existing skills through self-directed development and firm-sponsored training programs.
- Ability to read and comprehend complex materials involving legal and technical matters.
- Ability to work under pressure and meet deadlines on time
