The Legal Staff Operations Supervisor reports directly to the Director of Legal Staff and assumes a pivotal role in overseeing the firm's litigation processes and procedures. This position involves adeptly managing the case management system and other systems that support our Legal Staff, offering leadership to junior paralegals, and acting as a resource to provide litigation training and support. The Legal Staff Operations Supervisor plays a crucial role in ensuring the efficiency, accuracy, and continuous improvement of the confidential law firm's Legal Staff Operations.
Role and Responsibilities:
The essential duties and responsibilities of this position include, but are not limited to, the following:
- Manage case management systems and troubleshoot issues.
- Create reports and provide feedback.
- Provide training on systems, standard operating procedures, and other firm practices.
- Supports attorneys on any case management system needs.
- Maintain an assigned caseload to support practice groups throughout the firm.
- Project manage litigation assignments to the end of the project and report back to relevant parties.
- Assign cases to practice group paralegals.
- Collaborate with various internal and external stakeholders to provide data needed for cases.
- Mentor, guide, and train junior paralegals in their responsibilities, fostering their professional growth.
- Collaborate with the Director of Legal Staff and attorneys to identify areas for process improvement and implement best practices.
- Contribute to the creation and enhancement of standard operating procedures.
- Perform all other duties as assigned by the attorney(s).
Knowledge and Skills:
- Maintain an expert-level understanding of civil litigation.
- Cultivate in-depth knowledge of attorney-client relationships applicable to the performance of major duties and responsibilities.
- Demonstrate exceptional problem identification, analysis, and evaluation skills.
- Develop knowledge of computer information systems, including personal computer applications, word processing, and spreadsheets.
- Proficiency in Westlaw or other computerized legal research systems.
- Ability to train and mentor junior paralegals.
- Exceptional interpersonal and verbal communication skills.
- Ability to collaborate effectively with diverse teams and individuals.
- Excellent time management skills with a proven ability to meet deadlines.
Qualifications and Education Requirements:
- At least five to ten years of practical knowledge as a litigation paralegal.
- Paralegal Certificate or equivalent qualification plus.
Preferred Skills:
- Apply advanced principles of effective writing and verbal presentation.
- Familiarity with managing case management systems.
- Troubleshooting skills for case management issues.
- Exposure to programs such as TimeSheets, Fonality, Hona, and Litify.
- Identify gaps and provide constructive feedback.
