FILE CLERK DUTIES/RESPONSIBILITIES:
Organization of Files (both electronic and physical file format) as outlined in Litigation Training Manual
- Creation of physical files – Labels & Index when required.
- Save & name documents into appropriate categories within each matter’s electronic workspace.
- Creation of electronic (and physical when required) subfolders as requested by Attorney/Paralegal/Legal Assistant.
Data Entry of Files
- Create and maintain electronic files (Filesite) (and physical files when required) ensuring the file contains the same documents/information as the Master Index.
Miscellaneous
- Locate files when others are unable to locate them.
- Update file rooms as needed to clear out older files and update any physical files that have been created.
- Litigation Department Closed Files - including preparation and inventorying files by updating Master Index prior to closing. Obtain AR and Trust Reports. Preparation of Authorization to Close Files and upon obtaining attorney authorization, inventory files to confirm file is complete according to litigation master index. Scanning or shipping any physical files and updating master index.
- Prepare requests for ordering closed files from storage and for return of the same.
- Assist with copying and faxing documents for the department.
- Provide Receptionist relief when needed
DEPARTMENT ASSISTANT DUTIES/RESPONSIBILITIES:
- Prepare new matter form and conflict requests including corporate searches and preparation of CMF and MIF forms. Work with legal assistants in correct naming on new matters; entering new client information into Interaction; upon receipt of completed conflict and new client matter form, log same into Litigation File clerk project log for opening of Litigation Files; task to be delegated to File Clerk when appropriate;
- Assist with attorney time entry; corrections to unbilled time reports, and knowledge of basic accounting and reports available through CMS, etc.;
- Assist with retainer letters, certified mailings and various other correspondence; preparation of FedEx labels and mass mail-outs;
- Assist with Expense Reports
- Vendor Invoices, (review vendor statements, have checks cut, prepare cover letter and send out payments of invoices);
- Assist both Construction and Business Lit Paralegals with organizational projects such as hearing binders; trial exhibits, etc.; task to be delegated to File Clerk when appropriate;
- Various other tasks or responsibilities on an as needed basis in the order in which projects are received.
- Any and all other duties as may be required of the job.
REQUIRED SKILLS/ABILITIES:
- Excellent organizational skills and attention to detail.
- Proficient with Microsoft Office Suite or related software.
- Knowledge of Aderant, iManage/Filesite is preferred.
- Proficient in Outlook, Word, and Excel.
- Exceptional oral and written skills.
- Strong communications skills.
- Must be flexible with the ability to handle a fast paced environment.
- Demonstrated ability to multi-task and work under minimal supervision.
EDUCATION AND EXPERIENCE:
- A minimum of two years of experience in an office setting, or related field required
- Associate degree preferred, but not required.
