Job description

We are looking for a creative thinker and collaborator who is excited about the prospect of building new relationships and translating complex information into clear messages for our UHCU employees. The Learning & Development Coordinator is a newly created role that will focus on supporting strategic internal communications and knowledge management to ensure a positive employee experience. You will partner with our Project & Systems Manager and be responsible for content maintenance, data reporting, and employee support for systems managed by the Education department, including but not limited to the employee intranet, learning management system (LMS), and knowledge management system (KMS). You will also coordinate training events and provide administrative and program support for the team.

Here's what you can expect day to day...

1. Content Maintenance: Perform content maintenance tasks accurately and in a timely manner including, but not limited to:

  • Upload training content into the LMS and perform user testing to ensure the content functions as expected.
  • Enroll learners in training sessions and update learner transcripts in the LMS.
  • Post relevant news, events, and updates on the intranet home page, ensuring that content is accurate, organized, accessible, and in alignment with brand standards.
  • Update intranet pages by editing HTML code and CSS code.
  • Upload, edit, and maintain policy and procedure information in the KMS in accordance with knowledge management standards and best practices.
  • Update and edit communication plans as content is scheduled and prioritized for posting on the employee intranet.

2. Data Reporting: Run reports from the intranet, LMS, and KMS platforms and compile the data to provide insights on status, system usage, and effectiveness.

  • Download and archive reports in accordance with established department standards.
  • Upload reporting data into Smartsheet. Prepare reports and dashboards, as needed.
  • Escalate any trends or issues identified to the Project and Systems Manager.

3.Training and Communications Support: Act as an ambassador for the Education team, ensuring all communications and learning activities promote a positive employee experience.

  • Prepare training classrooms and materials for training events. Maintain training supplies and place orders, as needed.
  • Prepare meeting materials and meeting rooms for project and stakeholder meetings. Capture meeting minutes and action items, as needed.
  • Disseminate training communications and requests to supporting departments, managers, senior leaders, and employees.

4. Employee Support: Monitor systems and respond to employee support requests and inquiries in a professional and timely manner.

  • Monitor the KMS and LMS for newly-submitted cases and ensure they are routed to the appropriate case responder for resolution, escalating cases, as needed.
  • Assist employees with features or functionality of the intranet, KMS, and LMS.

5. Attend vendor meetings, training sessions, and internal systems training, as needed.

6. Prepare, proofread and edit internal communications such as presentations, process flows, graphics, training guides, newsletters, articles, and blogs.

7. Ensure compliance with data privacy, program governance, brand standards, and security standards.

8. Support new and ongoing departmental initiatives, programs, systems, and projects.


Here's what you bring to our Education Team:

  • Bachelor's degree from an accredited college or university in Business Administration, Communications, or other related field.
  • 2-3 years of demonstrated employee communications and customer service experience with progressive responsibilities related to translating complex information into clear messages for intended audiences, and proofreading technical and procedural content.
  • Extraordinary time management and organizational skills, including a proven ability to balance time between a variety of projects, systems and initiatives.
  • Proficiency in communication and project management platforms and tools such as Smartsheet, Microsoft Office Suite, Zoom, and WebEx.
  • Experience performing system administration functions for multiple types of modern software or systems.
  • Strong attention to detail. Verbal and written communication skills with ability to work collaboratively and supportively with individuals, groups, management, and other organizational units to achieve department goals and objectives.
