This is a part-time position, 5 hours per day Monday through Friday.
SUMMARY DESCRIPTION
Responsible for maintaining case files for an assigned group of attorneys.
PRINCIPAL DUTIES AND RESPONSIBILITIES
- File correspondence, loose mail, pleadings, deposition summaries, motions, etc., in the corresponding case files for each assigned attorney.
- Pull files for each attorney one day ahead according to diary.
- Create labels for files when needed ensuring the case name, file number, how many files and location of other files is visible.
- Audit files for dates on files on the 1st and 15th of each month.
- Keep a list of files and the attorney(s) working on each case.
- Request matter listing for each attorney and locate all active cases and location of all files every quarter.
- Review all files not listed as active on the matter listing to see if they are closed. If closed, send to File Maintenance Center with note on file.
- Record closed file information (date, case name, file number and attorney) in the closed section of diary.
- Send all expert depositions back to the File Maintenance Center once file is closed.
- Place closed box number on closed loose file mail.
OTHER DUTIES AND RESPONSIBILITIES
- Provide support to other Office Services employees as needed.
- Kitchen and conference room responsibility, as defined.
- Receptionist duties may be required, as defined.
- Assist with the processing of outgoing mail and incoming/outgoing faxes each day.
- Miscellaneous duties, as defined.
KNOWLEDGE, SKILLS AND ABILITIES
- Ability to understand procedures and instructions specific in the area of assignment as would be obtained through a high school diploma.
- Possess the ability to type accurately.
- Possess strong organizational skills necessary for prioritizing workloads.
- Possess the ability to manage multiple priorities and the pressure that accompanies these demands.
- Possess the ability to operate a variety of office equipment – e.g., copy machine, shredder, facsimile machine, binding machine, postage machine, scanner, etc.
- Possess some knowledge of computer systems.
- Possess excellent interpersonal skills in order to communicate and follow instruction effectively from a diverse group of clients, attorneys and staff and to provide information with ordinary courtesy and tact while safeguarding confidentiality.
- Must possess the ability to handle a variety of confidential case-related information obtained during the course of employment, in a discreet and confidential manner.
- Physical activity involves exerting up to 10 pounds of force occasionally; exerting over 10 pounds of force frequently. Physical activity may also include, but is not limited to, climbing, pushing/pulling, reaching stretching, lifting, grasping, balancing, stooping and kneeling and walking or standing for prolonged periods.
