The Event Coordinator at White Labs Kitchen, Brewery & Tap (KB&T) works closely with the Asheville General Manager and Craft Hospitality Group Manager to plan and execute both private and public events, primarily focusing on the KB&T venue. This role will serve as the primary point of contact for event inquiries and planning, ensuring flawless execution and exceeding guest expectations.
Essential Functions and Duties
General Responsibilities:
· Manages all event inquiries via telephone, email and web promptly.
· Coordinates private event reservations.
· Independently plans and executes onsite and offsite events for KB&T.
· Assists in booking and serves as direct point of contact for all KB&T events.
· Prepares personalized event proposals in a timely manner.
· Represents KB&T by conducting facility tours.
· Assists in creating event collateral in coordination with marketing team.
· Maintains accurate schedule of events in restaurant and event spaces.
· Provides excellent customer service and addresses guest complaints.
· Generates creative ideas for large public events and manages smaller programs.
· Develops systems and tools to support and promote event revenue growth.
· Stays up-to-date on industry trends to enhance public events.
· Serves as liaison between clients and KB&T for event coordination.
· Performs other related duties and projects as assigned.
Team Collaboration:
· Works with Craft Hospitality Group Manager to help forecast event sales and budgets.
· Coordinates with General Manager and event staff to ensure proper event setup, decoration, breakdown and cleanup.
· Collaborates with Chef to plan menus and ensure necessary supplies are stocked for events.
Onsite Event Coordination:
· Tailors event orders to meet guest needs.
· Conducts tours of event spaces and communicate changes effectively.
· Ensures accurate communication regarding event policies and procedures.
· Oversees successful operation of each event, including meeting client needs and staff coordination.
Offsite Event Coordination:
· Develops relationships with local businesses for offsite event coordination.
· Coordinates offsite events to promote venue awareness.
· Collaborates with local event committees to promote KB&T in Asheville community.
Necessary Knowledge, Skills and Abilities
· High school diploma or equivalent.
· 4+ years of experience in event planning or FOH staff coordination.
· Minimum 2 years of administrative experience.
· Proficiency in Microsoft Office or Google Workspace.
· Excellent communication, organizational and time management skills.
· Strong attention to detail.
· Ability to use independent judgement and discretion.
· Works well independently as well as cooperatively with others.
· Ability to work in fast-paced environment and adapt through changes.
· Flexibility to work in evenings or on weekends for events.
Physical Demands
Works primarily in an office setting where employee is provided with a workspace such as an office or a cubicle. Requires sitting and computer usage for administrative work. For event coordination, employee will be required to be on the floor with prolonged standing and walking. Employee may be required to lift up to 40 pounds maximum, and occasionally lift and carry small items or tools. Employee may be required to drive or travel to client sites on occasions.
