Job description

Provides clerical and administrative support to the project team members; these tasks may include but are not limited to: organizes and maintains project records, files, and correspondence, copies project documentation as requested; coordinates meeting schedules. Prepares project correspondence from basic to moderately complex and/or confidential source materials and proofreads for accuracy. Compiles and computes project data from various sources of a basic to moderately complex nature for staff review and action. Prepares project presentations as required. Assist with submitting and obtaining permits and vendor pricing as needed. Schedules and coordinates project activities such as travel arrangements, business meetings and appointments. Serve as a liaison between subcontractors/vendors, accounting, and procurement, as necessary to process project invoices. May administer time cards for field staff. Work with project managers and management team to resolve issues that arise with projects or clients. Performs other duties as required.

Minimum Qualifications

High School diploma or equivalent. 3 years of related experience. Domestic and/or international travel may be required. The frequency of travel is contingent on specific duties, responsibilities, and the essential functions of the position, which may vary depending on workload and project demands. Equivalent additional directly related experience will be considered in lieu of a degree.

Ability to work as a team player. Ability to interact with varying levels of staff, as well as vendors. Good personal computer skills including proficiency in Microsoft Office and Adobe or Bluebeam. Good organizational skills to balance and prioritize work. Good ability to deal with many people and process a large volume of requests.
