Job Summary

Reporting to the HR Manager for the US, the HR Generalist will provide professional-level Human Resources assistance, service, and guidance within multiple areas of responsibility with a heavy focus on life-cycle recruitment, on-boarding and off-boarding, and maintenance of employee data in HRIS and other systems.


Primary Responsibilities:

Life-Cycle Recruitment: Manage the recruitment life-cycle for the North American Region, Manufacturing and Corporate/HQ roles, including:

  • Work closely with the HR Manager, HRBP and hiring managers to develop staffing strategies.
  • Prepare and post jobs in the Applicant Tracking System (ATS) and all appropriate boards.
  • Manage open positions and relationships with hiring managers and external vendors.
  • Source for talent using LinkedIn and other social media platforms.
  • Assess candidate matches, review resumes, conduct screening interviews, and coordinate interviews with hiring managers.
  • Brand and promote job opportunities through approved social media channels.
  • Establish excellent networking channels and working internal candidate referrals.
  • Attend virtual and on-site job fairs.
  • Maintain recruitment tracking report and prepare weekly recruitment summary reports.
  • Lead and participate in special projects to improve the company’s recruitment technology and operational excellence.

On-Boarding: Manage all aspects of new hire on-boarding, including:

  • Communicate and coordinate all activities related with HR vendors related to screening and onboarding.
  • Utilize templates and tools to generate offer letters, ensuring that all necessary details are included, such as compensation, position details, and other terms and conditions.
  • Communicate with candidates regarding offer details, answering questions, and addressing concerns they may have about the offer letter.
  • Partnering with vendors (i.e. Background check and Drug testing vendor, etc.) to ensure pre-hire tasks assigned to new hire are effectively assigned in a timely manner.
  • Ensure compliance with USCIS Form I-9 Employment Eligibility Verification.
  • Upon acceptance of an offer by a candidate, ensure that all pre-hire tasks are provided to candidate in a timely manner to ensure that the agreed upon start date is met.
  • Monitor the progress of the tasks from offer letter submitted to applicant start date.
  • Serve as the primary interface with the hiring manager, payroll, HSE and IT department to coordinate the new hire start date, equipment, and all payroll related data.
  • Serve as a back-up New Employee Orientation facilitator.
  • Ability to recognize when to escalate issues that would impact the experience for a new hire.
  • Identify areas for improvement and propose solutions to enhance the candidate experience and overall offer/onboarding process.

Off-Boarding: Manage all aspects of employee off-boarding (transitioning employees who resign, retire or are terminated), that limits disruption to the company and existing employees, protects confidential information and leaves the employee with a favorable impression of the company, including:

  • Manage an employee’s off-boarding to retain a positive relationship with the exiting employee, leaving scope for reconnection in the future.
  • Prepare legal paperwork for the employee’s departure, including acceptance of resignation and benefit documents.
  • Set up knowledge transfer between the employee and a colleague or team member.
  • If appropriate, coordinate a company announcement of the employee’s departure.
  • Coordinate the issuance of the employee’s final paycheck and all other payments.
  • Coordinate with IT to disable all company data and systems.
  • Reclaim all business property and assets from the employee.
  • Schedule an exit interview and provide a summary of the interview to the HR Manager and/or HRBP.

Maintenace of Employee Data: Support HR with processing and maintaining employee electronic transactions, and ensuring the quality of employee data in the HRIS and other systems, including:

  • Data entry, filing, scanning, and uploading into the HRIS system.
  • Process employee electronic transactions including terminations and compensation changes.
  • Ensure employee information is kept up to date with IT when any employee changes are made.
  • Maintain all paper and electronic employee files.
  • Serve as point of contact for HRIS system (UKG), including updating employee records with any changes, corrections, troubleshooting, resetting user passwords.
  • Work closely with payroll to ensure accurate completion of all transactions.
  • Keep payroll informed of any employee changes, payroll additions, or other payouts.

Other

  • Build strong relationships with internal business leaders and employees.
  • Create and produce reports on general HR activity and HR Metrics.
  • Assist in ad-hoc HR projects
  • Help in the communication, interpretation, and upkeep of employee handbook, employee directory, and organizational chart, and contribute to policy development.
  • All other duties as assigned.

Minimum Qualifications

  • Bachelor’s degree in Human Resources or related field.
  • Two (2) years related experience.
  • Advanced proficiency in Microsoft Word and Excel.
  • Proficient in Microsoft Outlook and PowerPoint.
  • Experience with HR databases and HRIS systems (e.g. UKG, ADP).
  • Excellent communication skills.
  • Strong decision making, problem-solving, critical thinking and analytical skills.
  • Ability to build relationships within all levels of the organization.
  • Ability to handle confidential information with discretion and be adaptable to various demands.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Desire to work in a team with a results-driven approach.
  • High level of discretion of confidential work and information; ability to manage critical information and sensitive situations.

Preferred Qualifications

  • Experience in Oil and Gas or Manufacturing industry.
  • Experience in multiple Human Resources disciplines.
  • Project management and continuous improvement mindset.
  • Experience with major data visualization tools such as PowerBI.
  • Working knowledge of payroll processes and systems.
