Job Title: HR Assistant

Department: Human Resources

Reports to: Director, Human Resources

Job Status: Full Time

Schedule: Varies. M-Friday 8:00-4:30 with additional hours as necessary

Travel: 15%

Summary:

The Human Resource Assistant will perform administrative tasks and services to support effective and efficient operations of the NPR’s human resource department. The HR Assistant will identify, recruit, and screen potential employees for specific positions for The Northern Plains Railroad, Inc. (NPR) d.b.a. Northern Plains Rail Services (NPRS) and other affiliated companies.

Essential Duties and Responsibilities but are not limited to:

· Onboarding

o Assist in the pre hire and new hire process ensuring all required data is completed and compliant.

§ Complete all past employer reference checks.

§ When applicant is cleared, assign PRE-O documentation.

§ Administer iConnect forms via IRecruit.

§ Process all iConnect forms.

§ Assist in the pre hire and new hire process ensuring all required data is completed and compliant.

§ I-9 processing-Verify new employees citizenship/work status eligibility through EVerify.

§ Tracking Referral Bonuses/send to payroll

· IRecruit Administrator

o Initiates requisition forms to managers.

o Develops/Posts External and Internal postings through IRecruit on Website, Monster, Indeed for all companies.

o Screen resumes and prospects, qualify, interview, and manage candidates throughout interview process from prepping before interviews.

o Sends applicants promptly to managers daily.

o Takes notes and puts them in IR for each candidate.

o Schedules Interviews

§ Check with Manager for their interview preference: in person, via phone, via Teams

§ Reach out to candidates via phone and email, scheduling them for phone interviews.

§ Interviews applicants

§ Correspond with candidates at various stages of our process

§ Reviews, accepts, or rejects applicants.

· Hiring Events:

o Research, recommend, register, and attend when needed.

· Interviewing:

o Safety-sensitive skilled employee positions

o Extend Job Offers

· Advertising/Coding

o Responsible for working with Marketing on all Advertising

o Code/pay Indeed.

o Code Verified first

· New Employee Orientation

· Ensure compliance with Affirmative Action and EEO regulations and maintain EEO Recruiting logs

· Analytics

o Develop and track metrics on a weekly/monthly/annual basis, providing analytical staffing information and well documented reports to Recruiter

· Assist with Job Fairs when needed

· Back up to Recruiter

· Special Projects as requested.

  • Attention to detail; dead-line oriented, manages time, and data entry.
  • Excellent verbal and written communication skills with aptitude in conducting interviews.
  • Excellent organizational skills.
  • Thorough understanding of EEO, ADA, and other related employment laws and guidelines.
  • Proficient in Microsoft Office Suite or related software.

Physical Demands:

  • Continuous: Sitting for long periods of time, good hand-eye coordination, arm, hand & finger dexterity and visual acuity needed (use of computer equipment for long periods of time).
  • Possession of a valid driver’s license and ability to use your private vehicle is desired but not mandatory.

Environmental:

  • Office environment.

Education and Training:

  • High School Education or equivalent.2 Year associate degree or bachelor’s degree preferred.
  • Administrative Assistant experience preferred.
  • On the Job Training will be provided for position specific duties.
  • Experience in Word, Excel and Outlook a plus.

· Must possess a valid driver’s license. Must have and maintain an insurable driving status which includes but is not limited to NPR driver provisions.

  • Must be willing to travel when necessary.
