We have an exciting opportunity to join our team as an HR Assistant!
The Human Resources Assistant is responsible for providing Human Resources support for the facility, which includes but is not limited to, performing clerical tasks, assist in recruiting for vacant positions, assist with general employee orientations, assist in maintaining all personnel records and files, complete employment verifications and assist in organizing all employee engagement activities and in-services.
PRIMARY RESPONSIBILITIES:
- Serve as the point of contact for employee inquiries over the phone and in person providing guidance on policies, benefits and procedures.
- Foster a positive work environment by addressing and resolving employee concerns or conflicts in a fair and compassionate manner.
- Assist in preparing personnel-related documents for Joint Commission and CMS surveys
- Assist in the recruitment of all vacancies, including; setting up interviews, following up with applicants on application requirements, and documentation requirements, etc.
- Responsible for managing the day to day activities in the HR Department
- Conduct criminal and background checks for all new hires
- Prepare and update reports
- Validate licenses and credentials for new hires and current employees, contractors and students
- Key responsibility in employee file management, audit personnel files, ensuring all information is current and accurate
- Process termination paperwork, DOL Separation notices, Employment verification requests, FMLA and Short Term Disability
- Ensure all New Hires have submitted all the required documentation and are fully compliant.
- Prepare and organize employee documentation for; new hire orientation, in-service trainings and any other events as needed
- Coordinate meal services for new hire orientations, department meetings and activities.
- Champion of employee engagement functions and communication is sent out companywide
- Ensure conference rooms and auditoriums are reserved and set up properly for events.
- Paycom Onboarding
- Performs customer service functions by answering employee requests and questions.
- Completes Forms I-9, verifies I-9 documentation and maintains I-9 files.
- Schedules meetings and interviews as requested by the director of HR.
- Makes photocopies; mails, scans and emails documents; and performs other clerical functions.
- Assists or prepares correspondence as requested.
- Processes mail.
- Performs other related duties as assigned.

SKILLS, KNOWLEDGE AND ABILITIES:
- Strong interpersonal skills, including verbal communication, presentation and relationship building
- Excellent organizational and follow-through skills as well as the ability to multi-task in a fast-paced environment with limited daily supervision
- Exceptional writting skills
- Computer savvy; database management and presentation experience
- Ability to handle employee relations issues with sensitivity and discretion
- Ability to maintain confidentiality and provide excellent internal and external customer service
- Proficient in Word and Excel with knowledge of PowerPoint, Outlook and HRIS systems (Paycom and HealthStream preferably)
- Strong organizational skills with attention to detail
Education and Experience: A minimum of three (3) years experience in hospital business office and/or Human Resources, preferably in a health care setting; or any combination of education, training or experience in a hospital business office.
Additional Requirements: Ability to work occasional overtime and flexible hours as requested. Knowledge with social media platforms and graphic arts design preferred.
