Description:

The Quest Events HR Generalist is responsible for weekly payroll processing, administration of payroll related items, AND BENEFITS and 401(k) administration and more.


Prior experience in an payroll administration AND BENEFITS administration is required. Prior experience in an accounting adjacent role (Concur experience a plus) is beneficial to this position. Expert knowledge in Paylocity is a plus. In this role, integrity, trustworthiness, flexibility, and analytical thinking are a must!


This is a full-time, exempt, in-office position and typical hours are 8 AM to 5 PM, Monday-Friday.

Essential Duties and Responsibilities (Other duties may be assigned to meet business needs)


Payroll Administration:

  • Compile and manage payroll data such as garnishments, time off, insurance and 401(K) deductions.
  • Responsible for weekly payroll processing. Calculate the following as needed: additional earnings, cell phone reimbursement, reimbursements, due from employee, prorated salary, severance pay, PTO payout, 401(k) contributions, and benefit premiums.
  • Cooperate with State and Federal reporting requirements for payroll taxes, unemployment, Bureau of Labor and Statistics, and other documents or reports as requested.
  • Assist department in carrying out various human resources programs such as rewards programs for excellent job performance.
  • Help maintain Time & Attendance through Paylocity. Contact various department supervisors for missing punches, PTO discrepancies, and overtime approvals.

Benefit Administration:

  • Cooperate with broker and vendors, participate in compliance reviews
  • Manage and administer open enrollment
  • Administer new hire enrollments and employee benefit terminations (COBRA)
  • HSA and FSA management and funding
  • Invoice management, payment, and bill allocation & reconciliation.
  • Act as advocate for employees for disability-related issues and claims

401(k) Administration:

  • Serve as 401(k) administrator with Principal, completing file feeds, maintenance reporting, all IRS regulated communications, and yearly audits.
  • Understand and uphold procedures as written in the company handbook paying attention to differences between states of various Quest Event offices.
  • Assist with the daily administrative operations of the HR Department and interact with employees, management, and other business associates.
  • Conduct meetings and trainings with field managers and operations as it pertains to Paylocity and Quest’s Policies and Procedures.
  • Maintain Human Resources Information System (Paylocity) records and compile reports from database for both scheduled recurring report requirements, requested one-time reports and reports needed for various audits throughout the year.
  • Manage unemployment claims and information requests across all employment states, comply with reporting requirements in a timely manner.
  • Work with VP of Finance for commercial insurance renewals and audits
  • Audit newly onboarded and rehired employee records to ensure accuracy prior to first pay.
  • Serve as backup for the following HR related areas and other as assigned:
  • Onboarding of new hires and rehires
  • Personnel issues, investigations, disciplinary actions
  • Processing of terminations
  • Worker’s compensation claims. File OSHA and/or worker’s compensation reports when required.
  • Management of the DOT Driver process as it relates to the HR Department.
  • Performs other duties as required and assigned.
Requirements:

Other Requirements, Knowledge, Skill, Ability or Characteristics

  • Proven experience as an HR Generalist
  • Additional HR training will be a plus. SHRM-CP, SHRM-SCP, or other certification preferred.
  • High school diploma or equivalent required, BBA or degree in a related field preferred.
  • Good knowledge of employment, payroll, and labor laws; solid understanding of benefits and 401(k).
  • Outstanding knowledge of MS Office and HRIS systems; expert knowledge in Paylocity is a plus
  • Bilingual (Spanish) preferred.
  • Excellent communication and people skills.
  • Strong analytical and problem-solving skills.
  • Desire to work as a team with a results-driven approach
  • Able to organize and write procedures in a logical/methodical manner.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Excellent attention to detail.
  • Work well in a team environment with excellent interpersonal skills.

  • High ethical behavior, unquestionable integrity, and character.

Physical Requirements:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds at times.
  • Must be able to access and navigate each department at the organization’s facilities.
