What You'll Get To Do:
This is a highly interactive role, supporting the Office of the CHRO in developing, maintaining, and communicating department policies and procedures as well as supporting her team with a variety of projects. The role requires daily coordination of department activities and operations ensuring the most efficient use in support of the businesses. Culture and Engagement Projects
  • Coordinates all PEXNA HR employee engagement activities such as townhalls, CHRO unplugged, annual HR summit, and other meetings and activities as assigned.
  • Coordinates Newark office activities for PEXNA such as Take Your Kids to Work, Summer BBQ, Fall Festival and Holiday event, and operations to secure efficiency and compliance to company policies.
  • Assist in arranging employee engagement, culture, volunteer events, and activities.
  • Maintain PEXNA HR Teams Channel, Sharepoint and COMPASS landing page for all HR related content.
  • Support communications from Office of the CHRO and Senior HR Leadership Team including maintaining distribution lists
  • Manage the HR department recognition program, managing communications, nominations process, etc.
  • Assist in managing relationships with external organizations for annual membership and events

Administrative
  • Provide administrative support for management related meetings and events for PEXNA HR Senior Leadership Team including setting up AV system, catering, meals and refreshments as needed.
  • Assist with On Boarding of New Vendors .
  • Develop knowledge and contribute to team administrative procedures.
  • Develop, maintain, and communicate office policies, workflows, org charts, and how to's.
  • Maintain PEXNA HRLT Teams Channel specifically meeting agenda and minutes and ensure document filing or naming process is established for all HR documents.
  • Maintain and track stock of office supplies, swag, and place orders when necessary.
  • Assist with PEXNA HR employee on and off boarding process, including shipping and retrieval of accessories, swag bags, tools needs, mailing lists, desk setup and system access.
  • Work with finance and operation to manage internal approval, payment process for any administrative costs.
  • Manage correspondence to the office including the handling of letters and packages.
  • Manage expense reports for CHRO and PEXNA HR Senior Leadership Team in a timely manner.
  • Obtains signatures, maintains logs, where necessary, and ensures orderly flow of documents which require management authorization.
  • Continuously work on process improvement utilizing automation and visualization tools.
  • Reports directly to CHRO
  • Supports 4 members of the HR Leadership Team

  • B.A. or B.S. degree preferred

Other Requirements
  • Ideal candidate will have participated and/or completed the Braven course
  • Travel less than 5%
  • Overtime may be required from time to time
