Position Summary:
The Administrative Coordinator plays an important role by performing functions that support the Company. This position requires an organized and detail-oriented team player with exceptional computer skills, excellent oral and written communication skills, strong relationship-building skills, and a commitment to Diversity, Equity, and Inclusion. The Administrative Coordinator will promote the mission, complete goals, and support the company's successful operations. This position will take the initiative in completing daily duties to promote trust in all internal and external relationships.
Administration Support Responsibilities:
- Support HR functions including, but not limited to job postings, application screening, training, paperwork processing, and employee data.
- Assist in scheduling and onboarding of new employees, including Information Technology (IT) training and new hire orientation, and document completion.
- Coordinate and assist in Company Meetings.
- Coordinate all IT support (i.e., authorizing new users, issuing computer supplies, setting up computer workstations, managing IT inventory, etc.,) and communicating with IT support providers.
- Support accounting functions including, but not limited to: timecards, petty cash, production activity, and data entry, and function as backup for accounting personnel.
- Coordinate the set-up and management of Company databases including HR, Program, Program, Production, and Accounting. Provide technical assistance as needed to all employees.
- Record cash receipts that are received in person and through the mail as needed.
Assistant Responsibilities:
- Maintain administration calendars by planning and scheduling meetings, conferences, teleconferences, and travel. Coordinate planning and complete registrations for employees.
- Record and issue minutes of Board and committee meetings as assigned.
- Complete assigned administrative projects.
- Prepare reports by collecting and analyzing information.
Receptionist Responsibilities:
- As assigned, serve as the receptionist, and answer the phone, greet visitors, distribute mail and packages.
- Independently manage the conference room reservation system and resolve scheduling conflicts.
- Troubleshoot IT and phone issues in all conference rooms.
- Manage all printers, scanners, and faxes at both locations.
- Order printer, office, and Administrative supplies.
- Oversee and communicate with telephone, Internet, and printing companies, as needed.
- Assign new employee lockers, mailboxes, email addresses, and direct-dial phone numbers.
Other Responsibilities:
- Perform other duties as assigned.
- Complete in-service and annual training as required in Minnesota Statues and Vulnerable Adults Act.
- Comply with all company policies and procedures, including meeting the attendance and punctuality requirements.
- Maintain a CPR and First Aid certification.
- Ensure the highest ethical standards and maintain a professional appearance appropriate for scheduled work activities (or required by the off-site employer) per the company's policies and practices.
- 1-3 years of experience in a human resources or administrative position with a bachelor's degree in human resources, business, or a related field preferred.
- Expert level of Microsoft products such as Word, Excel, and PowerPoint.
- Experience working in a nonprofit organization is preferred.
- Ability to work independently, with excellent skills in teamwork and collaboration.
- Ability to be flexible and manage time and tasks well.
- Ability to take initiative, think critically, and be solution-focused.
- Ability to maintain confidentiality and represent Company decisions constructively.
- Personal vehicle insurance coverage of $100,000 injury/$50,000 damage is required.

Essential Physical Functions:
The physical demands are representative of those that an employee must meet to perform the essential responsibilities of this position successfully. The employee must be able to sit, stand, walk, and communicate daily. Be able to stoop, bend, kneel, twist, run, reach, push, and pull, regularly move up to 10 pounds and occasionally up to 25 pounds.
