Job description

Fluidra's looking for aHR & Administrative Coordinator to join the team at our office in Canby, OR. This role is considered to be temp - to hire.

WHAT YOU WILL CONTRIBUTE

We are looking for an HR & Administrative Coordinator to handle a variety of personnel and administrative duties at our Canby Office. Your role is to act as the (Administrative) liaison between HR and our employees, ensuring smooth communication and prompt resolution of all queries. Additional duties will include general reception responsibilities, credit card program administration and clerical duties supporting Customer programs and accounts.

This role will interact with employees of all levels of the Company. Candidates will bring a positive attitude, and confidence backed by ability and sense of ownership of any tasks provided. Key responsibilities, will include, but are not limited to:

HR Support (50%)

  • Create and maintain all personnel files including conducting regular audits of all HR related data and information to ensure accuracy and data integrity.
  • Administer change of status paperwork and corresponding HRIS inputs - including transfers, promotions and terminations.
  • Assist with event planning and employee engagement activities or other events/meals
  • Respond to inquiries related to policies, employee relations, performance management, compensation processes, benefits and payroll.
  • Assist with the HR onboarding and offboarding of talent.
  • Assist with other HR projects, as assigned.

Reception (20%)

  • General reception responsibilities to include answering a multi-line phone system; greeting vendors, walk-in customers, and employment applicants; retrieving, sorting and distributing incoming mail; postmarking and sending outgoing mail; as well as ordering and maintenance of office supplies.
  • Maintain visitors log, safety/security/cleaning log and issue badges to visitors entering the facility.
  • Ensure common areas and conference rooms are in an organized, tidy manner

Credit Card Program Administration and Travel Support (15%)

  • Maintain card program users, ensure compliance with expenses and related reporting requirements, assist in researching and booking travel arrangements for employees as needed.
  • Ensure timely and accurate booking, as well as compliance with policy guidelines.
  • Support annual internal audits of travel and entertainment expenses.

Customer Programs/Accounts Support (15%)

  • Update and maintain customer price lists, provide support to shipping, sales and accounting on key customer accounts.
  • Sales and order metrics administration for Amazon.com

WHAT WE SEEK

  • High Proficiency with Microsoft Office Applications (Outlook, Word, Excel, PowerPoint).
  • Excellent presentation and communication skills, both written and oral.
  • Ability to work in a demanding and dynamic fast-paced environment with the flexibility to adjust to changing priorities and deadlines.
  • Must be able to exercise discretion and sound judgment concerning confidential information and must conduct all activities in a manner, which is at all times fair, moral, ethical, and legal.
  • Ability to work independently and within a team environment.
  • Proactively work to organize, respond to needs and anticipate what is needed by the individuals for whom she/he supports.
  • 1+ years HR experience.

EDUCATION

  • BS degree in Human Resources or related field
