Job Description:
The HR Administrative Assistant reports directly to the Human Resources Manager and to the Payroll and Benefit Manager. The HR Administrative Assistant is responsible for running the daily functions of the front office assisting with time & attendance, questions with pay, benefits, and leave, along with daily employee relations. The HR Administrative Assistant demonstrates behavior that supports IHP values.

Role and Responsibilities

  • Overseeing clerical tasks, such as sorting and sending mail.
  • Keeping an inventory of office supplies and ordering new materials as needed.
  • Maintaining files.
  • Welcoming visitors to your office.
  • Answering phone calls.
  • Taking and delivering messages.
  • Ensuring the office runs smoothly.
  • Scheduling meetings and sending meeting invites to attendees.
  • Handles employment-related inquiries from applicants, employees, and supervisors, referring complex and/or sensitive matters to the appropriate staff.
  • Submit a list of openings available to the State Employment Office, post open positions on electronic data device, and local social media sites.
  • Assist employees with issues or questions to help get them resolved.
  • Assist employees with their Paycor/ ADP ESS and train them how to utilize correctly.
  • Assist both the Human Resource Manager and the Payroll & Benefit Manager with day-to-day administrative tasks.
  • Performs other duties as assigned.

Qualifications and Education Requirements

  • High school diploma preferred or equivalent preferred.
  • Five years of related experience in office administration, recruitment, and similar tasks preferred.

Must Have:

  • Must possess excellent organizational skills and be able to establish priorities.
  • High competency level in use of Microsoft Office. (Excel, PowerPoint, Word, as a minimum)
  • Communication Proficiency in both written and verbal communication skills. Bilingual – Spanish is a plus.

Job Type: Full-time

Pay: $18.00 - $22.00 per hour
