FLSA Status: FLSA Non-Exempt
Classification: Part-Time
Rate of Pay: $17.00 per hour
Hours: 13-20 HOURS PER WEEK (Mondays and Tuesdays OR Tuesdays and Thursdays) YEAR-ROUND NOT TO EXCEED 1000 HOURS. In addition to those hours the 2nd OR 4th Saturday of each month 9:00am-12:30pm during the months of May-August. Other times and dates may be needed and/or assistance with select Special Events.
The Wildwood Park District is looking for a dedicated professional experienced in customer service management, experience working with the public, and ability to assist running the main office of the Wildwood Park District for the Part-Time Year-Round Guest Services Representative Position!
Summary: The Guest Service Representative is responsible for daily operations of the office. Responsibilities include assisting the public on the phone, in person or in email, processing activity registrations, payments and rentals and performing a variety of tasks as assigned.
Qualifications and Skills Required:
· Associate degree or equivalent customer service experience preferred. High School Diploma required.
· Two to three years of front office or customer facing experience.
· Excellent written and oral communication skills.
· Computer skills are necessary including Microsoft Applications such as: Word, Excel, PowerPoint, Outlook Email; and ability to be trained on ACTIVE Net registration software and Park District website editing platform. General competencies with Apple MacBook computers and software or ability to learn.
· CPR/AED/First Aid certified within 6 months of employment. Park District provides CPR training.
· Must have valid Driver’s License and reliable transportation.
· Must be at least 18 years of age and successfully pass background check.
· Must be able to read and write and have strong command of the English language. Bilingual is a plus.
· Must be able to perform basic mathematics.
· Must possess professional phone skills and work well with the public.
· Must present a neat and professional appearance.
Essential Functions:
The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.
· Initiate and gather quotations/estimates and confirm/setup appointment times for office supplies/equipment and obtain quotes from vendors/contractors at the request of the Park District Manager when appropriate.
· Greet and answer questions from the public on the phone, in person or in email.
· Take phone messages for staff.
· Communicate information to appropriate staff member.
· Process activity registrations, room rentals, pavilion rentals and preschool payments.
· Process boat key and boat decal and parking permit sales.
· Assist with Summer Camps registration, camper paperwork/logs, and work with Camp Counselors when necessary.
· Assist with Preschool when necessary and work with Preschool Teachers with copies, and supply procurement.
· Assist Marketing and Events Coordinator to maintain Park District website calendar and complete updates as needed.
· Maintain all office supplies.
· Assist Park District Manager with copies, notices, filing, and other administrative tasks.
· Assist Maintenance Supervisor and Team with supply orders, supply inventory, and quote procurement when necessary.
· Assist with management of Harvestfest Vendor Applications and Payments.
· Input programs in recreation program software at the beginning of each season.
· Print out class attendance lists as needed.
· Process all fees in recreation software and conduct daily balance of all money received.
· Maintain integrity of customer transactions.
· Assist with the distribution of information to the public along with Park District Manager and Marketing and Events Coordinator.
· Respond to complaints and questions related to recreation/public relations operations.
· Maintain integrity of registration software.
· Communicate work schedule and tasks to the Park District Manager.
· Perform duties in a safe manner.
· Maintain a clean work area.
· Report any work-related or patron injuries to supervisor promptly.
