Job description

The ASTE/AVTE Graduate Program Coordinator (GPC) plays a key role in supporting the success of graduate students as they earn their degree in the ASTE and AVTE departments. Responsibilities include general administration of the ASTE and AVTE Graduate Programs, oversees application and admission process, processes graduate student forms, communicates with School of Graduate Studies and Graduate Program Director(s), regularly monitors student progress.

 

Reporting


The GPC reports directly to the Graduate Program Directors in the ASTE and AVTE departments.


Expectations:

  • 20 hours a week
  • Collaborate with a cohort of 60-80 graduate students enrolled in the program.
  • Engage with prospective graduate students who express interest in the program(s).
  • Minimal overnight travel

Typical Functions:

  • General Administration
  • Acts as the central repository of graduate information for the department, interpreting and disseminating pertinent School of Graduate Studies (SGS) and program policies.
  • Holds regular meetings with the Graduate Program Director(s) (GPDs) and graduate faculty to maintain transparent communication.
  • Participates in regular meetings convened by SGS or arranges for representation if necessary.

Application and Admissions:

  • Supervises the graduate student application process, coordinating reviews with GPDs.
  • Collaborates with SGS on updates, issues, and applications.

Communication and Record-Keeping:

  • Ensures transparent communication regarding degree requirements, milestones, and expectations.
  • Handles graduate student forms promptly.
  • Keeps the Graduate Student Dashboard updated regularly.
  • Manages relevant list-serves (e.g., MAS, M.Ed., M.S., PH.D. list serves) and Canvas pages.

Student Success:

  • Monitors and updates the progress of graduate students in collaboration with graduate faculty.
  • Processes student requests through ServiceNow (e.g., program of study, committee, proposal, etc.).
  • Acts as the primary contact point for students with special requests (e.g., leaves of absence).
  • Participates in graduate student events in person (e.g., Ph.D. summer seminar, graduation, etc.).

Graduation Outcomes:

  • Evaluates progress towards graduation.
  • Works with graduate students and SGS to ensure timely completion of graduation and thesis/dissertation paperwork.

Recruitment:

  • Attends recruitment events as required, with some travel involved.

Minimum Qualifications:

  • Bachelor’s Degree Required
  • Familiarity with Career and Technical Education (e.g., Agricultural Education, Family and Consumer Sciences Education, Business Education, Technology and Engineering Education) or Aviation a plus.

  • Team Building: Works to create a team-based environment. Constantly demonstrates cooperative behavior with colleagues, supervisors, and customers.
  • Active Listening: Gives full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
  • Service Orientation: Actively looks for ways to help people.
