Description of Work Unit
The Department of Construction Management serves one of the largest construction management programs in the country with approximately 800 undergraduate students, 20 graduate students, 21 faculty and 7 professional staff. The Department offers both a bachelors and master’s degrees in construction management. The undergraduate program is accredited by the American Council for Construction Education. Academic advising, internship placement, and career placement support is provided by professional staff. The department engages in teaching, scholarly, and outreach activities to promote the development of knowledge and skills related to construction management. The Department’s facilities include over 36,000 square feet in dedicated labs (physical testing and computer), classrooms, and offices to support its research, teaching, and service mission. The Department of Construction Management is located on the main campus of Colorado State University in Fort Collins, Colorado. Position Summary
The Front Office Coordinator plays a critical role in the day-to-day operations of the CM department including reception; student, industry, and donor interaction; communication with students, faculty, and staff; communication through CM email, and calendar management. This position actively looks for solutions to problems and seeks clarification when necessary from the department or campus partners. This position provides administrative support to the department and manages the department Front Office including supervision of student staff, main office reception, and assisting students, staff and visitors. This position opens and closes the department daily, exchanges information to keep others informed, and assists with departmental projects and events. This position provides clerical support including database management, coordinating department website updates, and managing department calendars. The position is involved with department related communications including flyers and digital screen media. The Front Office Coordinator serves as the building proctor for CM buildings as well as serves as the CM graduate program liaison

Required Job Qualifications
  • Bachelors Degree
  • Experience using Microsoft Suite including Word, Excel, and Power Point
  • Excellent communication skills as demonstrated by submitted materials
  • Demonstrated ability to do detailed work, prioritize multiple tasks and meet deadlines

  • Two or more years of general clerical experience

Duty/Responsibility
  • Manage Front Office operations, including supervision and training of student staff.
  • Greets and directs students, faculty, staff and visitors
  • Maintain and update department calendars, including appointment scheduling, faculty office hours, conference rooms, and classrooms.
  • Manage department activities, schedule classrooms and other space for curricular and extra-curricular activities
  • Disperse informational material regarding all department programs including directing calls and walk-ins to the appropriate office
  • Send, receive, and distribute department mail; make package labels as needed; update mailboxes
  • Provide onboarding support for new employees
  • Manage department digital screens and online calendar to market events and activities to students and industry
  • Manage department faculty and staff display board by updating when appropriate (e.g., new hires, separations, updating titles
  • Processes copy orders, including coordination of printing course packets with FastPrint
  • Assists with flyer design and perform data entry as necessary
  • Works with database management programs including updating department information, maintaining files, generating letters, documents and reports using Microsoft Office Programs, (e.g., Excel, Word, PowerPoint, Publisher).
  • Serve as CM textbook adoptions liaison between CM faculty and CSU bookstore ensuring correct and accurate textbook selections are made each semester for each CM course.
  • Manage CM email, phone, and voicemail
  • Maintain office supply needs and distribute office materials
  • Checks out technical equipment and keeps logs; assists with inventory and management of equipment

  • Liaison with Graduate Admissions, CM Graduate Program Coordinator, and CM Graduate Committee
  • Enter committee decisions (admitted, waitlisted, or denied) in Slate

  • Monitor and reply to inquires made through Slate or graduate program email account

  • Serve as building proctor for Guggenheim Hall and Preconstruction Center, and as assistant proctor for Industrial Sciences Lab.
  • Develops and enforces a building safety plan for Guggenheim Hal and Preconstruction Center and communicates updates to staff, faculty and students when necessary.
  • Surplus equipment, supplies, furniture using the CSU EACR System
  • Manage keycard system for CM doors (C-CURE)
  • Manage keys for the department including issuing and returning keys and performing annual key audit
  • Submit and track facilities maintenance requests
  • Monitor AED (located in Precon) and submit monthly report on status of AED
  • Monitor all display cases; update upon request; clean annually
  • Manage office operations including keys, and coordinate with CSU facilities management on building maintenance and repairs.
