JOB SUMMARY
The Front Office Assistant job is to greet all callers and visitors to The Physicians’ Office in a pleasant, warm and efficient manner. The Front Office Assistant is the first contact the public has with The Physicians’, as such, enthusiasm and attitude should be reflected in their initial thoughts. This is a part-time position that will require you to work Tuesdays & Thursdays 7:30am-4:30pm and Fridays 7:30am-11:30am.

JOB RELATIONSHIPS
- Responsible to: Administrator and Operations Manager/Clinical Coordinator
- Workers supervised: None
- Effectively work with patients, office personnel, physicians and co-workers
- Interrelationships: Must have effective interpersonal interaction with patients, office personnel, physicians and co-workers
RESPONSIBILITIES AND DUTIES
- Other duties may be assigned as necessary
- Greet all visitors to office in a calm, warm and friendly manner
- Directs patients to their specific appointment area
- Explains appropriate forms to patient and/or family member and obtains signatures on all forms
- Obtains completed Patient Information Sheets
- Admission Forms
- All insurance information and verification
- Scheduling of new patients/referrals
- Notifies patient of co-pay and/or co-insurance and/or deductible or any other payment that will be necessary and collects at time of service
- Performs any opening procedures of the building in anticipation of the arrival of staff and patients
- Answers all phone inquiries in a courteous fashion and directs calls to specified areas
- Scheduling of appointments
- Ensure all appropriate forms are included
- Prepares end of day batch summary
- Encounter forms
- Schedule, complete with day’s work-ins and cancellations
- Payment log
- Copy of Receipts
- Closes Credit Card machine
- Familiarizes oneself with the various office forms, policies and procedures
- Assists with general office duties as necessary, i.e. miscellaneous typing, copying tasks, receiving / distributing mail
- Practices conservative utilization of supplies
- Remains calm and follows directions in situations according to policies
- Utilizes correct channels of communications
QUALIFICATIONS
- Education:
- High school diploma or equivalent
- Training and Experience:
- One year previous Front Office experience preferred
- Ability to type
- Medical terminology helpful
- Computer literate / proficient
- experience with insurance verification
- Physical Demands:
- While performing the duties of this job, the employee is regularly required to sit, stand, walk, talk and hear. The employee is frequently required to move upper extremities within full range of motion as well as stoop and bend at 90 degrees.

Job Type: Part-time
Pay: $18.00 - $20.00 per hour
Expected hours: 16 – 20 per week
