JOB DESCRIPTION – Receptionist/AP Assistant
Primary Objectives:
- Provide exceptional customer service to all visitors and people calling into the company.
- Ensure all leads are taken in a correct and timely manner.
- Maintain the office/kitchen clean and stocked.
- Greet visitors and employees as they enter the building.

- Maintains a neat, organized, and safe personal and front office work area.
Responsibilities:
- Answer the phone promptly within the first 2 rings.
- Provide excellent customer service to all callers and visitors to the office.
- Ensure job leads are entered correctly into RM and ES calls are addressed promptly.
- Make copies of most commonly used forms and maintain a good number of copies readily available.
- Notify IT or call the appropriate parties if office equipment is not working optimally.
- Ensures the office, kitchen, and storage areas are organized, clean, and presentable.
- Cleans and stocks the kitchen as needed throughout the day; cleans and stocks the kitchen, stocks the bathrooms, and loads and starts the dishwasher at the end of the day.
- Unloads the dishwasher and makes coffee at the beginning of the day and as needed throughout the day.
- Makes sure lights are off, all doors are secure when leaving the office at the end of the day.
- Help with other tasks as needed.
- Enter credit cards into timberscan
- Enter Invoices into timberscan
- Enter Supporting documents into timberscan
- Balance Statements
- Scan POs into PDF file
- Issues PO books to staff and checks them in/out in PO log.
- Stuffs checks and prepares them to be mailed out.
- Performs data entry and clerical tasks related to the efficient maintenance and processing of Accounts Payable.
- Effectively communicates data entry progress with the A/P Administrator to ensure accurate record keeping.
