Job Description


The Fiscal and Events Specialist is responsible for providing support to the budget and event management functions for the Nuevo Momento project. This grant-funded position processes all financial transactions as well as provides logistical support and on-site management for meetings and events related to the overall project. The Fiscal and Events Specialist will work closely with the PI for the project as well as the Program Director for the MA in Ministerial Leadership, the Associate Dean for Finance and Administration, and the Fiscal and Administrative Specialist.
The Fiscal and Events Assistant will work closely with the PI, the Program Director for the MA in Ministerial Leadership, the Associate Dean, Finance and Administration, and the Office of Sponsored Programs to deliver fiscal and event management services for all aspects of the Nuevo Momento project, including coordinating all logistics for the bi-annual meetings for representatives from the participating organizations, the bi-annual residency programs for the students in the MA in Ministerial Leadership degree, and other meetings throughout the year to support the goals of the grant; coordinating the hiring and payment process for employees, independent contractors, and vendors; managing sub-award grants for participating organizations; and assisting the PI with reporting information.
Nuevo Momento is funded by a grant to support a national initiative to enhance organizational capacity and ministerial leadership competencies for 12 ministerial organizations serving Hispanic Catholics through December 2028.
Essential Functions
Process financial transactions which include vouchers, POs, expense reimbursements, and grant sub-award disbursements. Coordinate the hiring and payment process for employees, independent contractors, and vendors; assist the PI with reporting information. 55%

Support event planning and execution efforts by working with PI, the Program Director for the M.A. in Ministerial Leadership, colleagues within the School of Theology and Ministry, internal Boston College departments, and external organizations and vendors on all logistical aspects of events for the Nuevo Momento project. Includes selecting menus and event locations and securing media and tech services. Will also coordinate arranging travel plans and hotel arrangement for bi-annual meetings and residencies as well as other meetings, maintaining calendaring of events, coordinating RSVPs and providing on-site management as needed. Develop and maintain website resources supporting the projects of the grant. 45%
Decision Making and Problem Solving
  • Makes recommendations to PI and Program Director about event planning and execution
  • Responsible for executing logistics for events following project budget and in accordance with Boston College protocols
  • Processes financial transactions with approval of PI
  • Keeps records and updates task lists and relevant documents for activities and events associated with Nuevo Momento
  • Provides basic logistical information to leaders of organizations participating in Nuevo Momento and event participants as needed

Hiring Range: $25.85/hr to $32.31/hr. Pay rate commensurate with relevant experience.

Education/Training and Certification, Licensure, Registration Requirements:
This position requires a High School Diploma; a Bachelor’s Degree is preferred
Experience
Two years of experience supporting financial operations and knowledge of event planning and execution. Experience with PeopleSoft Financials preferred, and strong working knowledge of Microsoft applications.

Exceptional Work Schedule Demands
The ability to work flexible hours, to be available for on-site event management evenings and weekends on a regular and predictable basis, and to travel occasionally, is required.
