Job description

JOB SUMMARY

The Facilities Manager develops programs to meet current and anticipated facilities and equipment needs for all group homes and the main facility, working within budget to design and manage facilities and equipment for optimal operating efficiency while remaining in compliance with local, state, and federal regulations. This position supervises maintenance staff and oversees fleet as well as janitorial and lawn maintenance contracts for all organization facilities. Promote and demonstrate the values, vision and mission of The Arc ensuring the respect, dignity, safety and well-being of clients at all times.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Follow policies, procedures and rules of the organization.
  • Serve as a role model and demonstrate, encourage and offer direction in fairness, consistency, attentiveness, ability to work with others, appropriate dress and appearance, and effective conflict resolution.
  • Treat all clients, parents, guardians, co-workers, supervisors, and people in the community with respect and dignity.
  • Maintain confidentiality of those we serve.
  • Develop systems, policies, and standard operating procedures for Facilities Management.
  • Coordinate with the Chief ExecutiveOfficer on the building projects.
  • Plan workload, work flow, deadlines, and time utilization using a work order system, contracting with outside vendors as needed.
  • Inspect buildings and equipment on an appropriately-scheduled periodic basis for maintenance, renovation, and replacement needs.
  • Supervise, direct, manage, coach, and evaluate maintenance staff.
  • Develop and manage a comprehensive Preventative Maintenance Program for equipment, safety systems, group homes, main facility, and vehicles (fleet), ensuring preventative maintenance schedules are being followed.
  • Make recommendations and prepare cost estimates for building renovations and repairs, equipment replacement and repairs, and vehicle replacement and repairs.
  • Evaluate completed work and check for conformance to specifications.
  • Maintain adequate materials inventory and order/purchase items as necessary.
  • Oversee contracts and ensure quality of work of lawn maintenance, landscaping, and janitorial services.
  • Work closely with General Contractor for all renovation or building projects.
  • Follow building grant requirements and submit all required documents timely.
  • Develop and maintain a key management and replacement system for all agency buildings, equipment, and vehicles.
  • Ensure building safety and security in compliance with safety and security protocols.
  • Oversee alarm systems maintenance and repairs.
  • Ensure that fire drills are conducted and documented monthly.
  • Organize and facilitate the Risk Management committee, ensuring action items are developed and outcomes are tracked.
  • Oversee and manage OSHA compliance and reporting.
  • Update and maintain Material Safety Data Sheets (MSDS) at each location as required by Government regulations.
  • Perform related work as necessary or required.
  • Attend required meetings and in-service trainings.
  • Attend needed trainings to maintain and improve knowledge and skills.
  • Participate in continuous process improvement activities and consultation.
  • Other duties as assigned.

EDUCATION AND EXPERIENCE REQUIREMENTS

  • Bachelor’s degree in business, engineering, facilities management, information management, or related field.
  • 3+ years' experience in facilities supervision or management position.
  • Direct work experience in maintenance and facilities supervision or management may substitute for college education on a year-for-year basis.

KNOWLEDGE, SKILLS, ABILITIES & WORK HABIT REQUIREMENTS

  • Considerable knowledge of the current methods used in the routine maintenance of buildings and facilities.
  • Proficient knowledge in the use and maintenance of common hand and power tools.
  • Knowledge of County and State laws, codes and ordinances governing building, electrical and plumbing standards.
  • Knowledge of emergency and disaster preparedness for facilities and equipment.
  • Knowledge of occupational health and safety regulations.
  • Working knowledge of electrical, mechanical, plumbing, construction, and HVAC systems.
  • Demonstrated leadership skills.
  • Excellent verbal and written communication skills.
  • Outstanding project management skills.
  • Proficient with Microsoft Office software.
  • Ability to operate basic office equipment such as copy machine, cell phone, and computer.
