Hours: Full-time (45-55 hrs/week)
Experience: Bachelor's degree preferred, with 5+ years of experience as an Executive Assistant, preferably in a fast-paced setting
Please Note: This position requires around-the-clock flexibility. Sometimes, you'll be working (or need to be available) before or after hours, on weekends, holidays, etc. and often on short notice. This includes responding to emails, texts and/or phone calls. That's agency life, baby!
The Brief

As the backbone of our operations, you will be the indispensable right hand to our owner, ensuring her day unfolds with precision and foresight. From proactively managing calendars and orchestrating essential meetings to crafting insightful reports and providing crucial support in various administrative tasks, your knack for anticipating needs and preemptively addressing them will be the linchpin of our agency's efficiency and success.
Position Responsibilities:
" Efficiently managing the owner's calendar, including scheduling appointments, meetings, and calls, and ensuring all commitments are met in a timely manner
" Coordinating logistics for meetings, including booking conference rooms, arranging catering and preparing necessary materials
" Preparing agendas and documentation for meetings, ensuring all participants are well-informed and prepared
" Attending meetings as needed, taking accurate notes, and following up on action items to ensure timely completion
" Acting as a gatekeeper for the owner, screening and prioritizing incoming communications and requests
" Anticipating the owner's needs and proactively address them, providing support and assistance as required
" Maintaining confidentiality and handling of sensitive information with discretion and professionalism at all times
" Drafting and editing correspondence, presentations and reports as needed
" Assisting with project management tasks, such as tracking deadlines and preparing status reports
" Managing office files, records, and documents, maintaining organization and accessibility
" Collaborating with the owner and team members to plan and execute client events, company gatherings, and other special occasions. This includes coordinating logistics, managing RSVPs, liaising with vendors, and ensuring seamless execution
" Handling general office duties, such as ordering supplies and maintaining equipment " Completing special one-off projects when necessary

" Performing other assorted duties, as assigned
Position Must-Haves
" Bachelor's degree preferred
" 5+ years of experience in an Executive Assistant role, ideally in a fast-paced environment
" Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
" Excellent communication and interpersonal skills
" Strong organizational and time management abilities
" Discretion and confidentiality in handling sensitive information
" Flexibility and adaptability to changing priorities and deadlines
" Positive attitude and willingness to go above and beyond to support the team
" Demonstrates autonomy, thriving in environments that require minimal supervision

hysical Requirements Work is performed in an office setting, but travel is a possibility. You may be subject to sitting, standing or walking for extended periods of time (especially if this helps the creative juices flow). You must be able to lift up to 50 lbs. (or be able to convince someone to do it for you).
