Executive Assistant

Are you an experienced Executive Assistant looking for an opportunity to be hands on and part of the business and leadership team? As an Executive Assistant, you will provide high-level administrative support to the CEO and senior executives. This role plays a crucial part in ensuring the business runs efficiently. You will be responsible for managing schedules, coordinating meetings, handling correspondence, and assisting with various administrative duties. In addition, this is the go-to role for general office management across the company working closely with department heads.

Key Responsibilities:
- Coordinate and manage executive calendars, including scheduling meetings, appointments, and events.
- Prioritize and organize appointments to optimize the leadership time.
- Arrange and plan meetings, conferences, and video calls as necessary.
- Prepare meeting agendas, materials, and distribute them to attendees.
- Record meeting minutes and action items as required.
- Screen and manage incoming emails, phone calls, and other forms of communication.
- Respond to routine inquiries or delegate them to the appropriate department.
- Coordinate travel plans, including booking flights, hotels, transportation, and itineraries as requested for business travel within the company.
- Ensure travel documents and expenses are properly managed and processed.
- Submit executive expense reimbursements via Certify.
- Organize the office, including ordering supplies and general office supplies as needed.
- Handle confidential and sensitive information with discretion and professionalism.
- Organize and maintain files, documents, and records, both electronically and in hard copy.
- Provide support for special projects, presentations, and initiatives as directed by the executive.
- Collaborate with other team members and departments to facilitate project completion.
- Build and maintain positive relationships with internal and external stakeholders.
- Act as a liaison between the executive and other staff members or external contacts.
- Prioritize tasks and manage time effectively to meet deadlines and ensure tasks are completed efficiently.
- Other office duties as assigned.
Requirements:
- 7+ years of experience as an Executive Assistant or in a similar role.
- Excellent organizational and time management skills.
- Strong written and verbal communication skills.
- Proficiency in office software (e.g., Microsoft Office Suite).
- Ability to handle confidential information with discretion.
- Adaptability and the ability to work in a fast-paced environment.
- Attention to detail and problem-solving skills.
- Strong interpersonal skills and the ability to work effectively with various stakeholders.
