Additional Job Details:
As part of Dataworks, a new organization established at FedEx, you will be supporting work that transforms how FedEx leverages its extensive data as an asset to extract insights and drive value. Your role will be to perform diverse administrative duties for a Vice President and their Director team. This involves working with high-level contacts and exposure to sensitive information. This role will require an individual who has a friendly, approachable, and professional presence, is results and efficiency oriented, great at balancing multiple priorities, optimistic with a relationship building mindset, a superb communicator across a vast stakeholder group, and brings an entrepreneurial and pioneering spirit.
Responsibilities include, but are not limited to:
  • This position will support the Vice President and a team with a minimum of 2-4 Directors
  • Manage multiple calendars with shifting priorities and deadlines that include booking complex domestic/international travel, managing travel details and managing expenses.
  • Quickly and accurately assess the importance of a phone call, email, or document and take appropriate action to involve the appropriate parties.
  • Exhibit a high degree of judgment and discretion in handling confidential information and situations.
  • Compose correspondence and reports, compile presentation packages, and process letters and contracts requiring signatures
  • Manage conference/zoom call and meeting scheduling, including invitations and arrangements.
  • Manage physical and electronic filing systems.
  • Sort, read and annotate incoming mail and documents and attach appropriate file to facilitate necessary action; determine routing, signatures required, and maintain follow-up file.
  • Maintain familiarity with department's projects and priorities and coordinate and maintain effective office procedures and efficient workflow.
  • Track and monitor projects from request stage through distribution of final documents.
  • Research and gather information and supporting data in preparation for meetings, work projects and reports as required.
  • Take authorized action during Vice Presidents' absence and use initiative and judgment to see that matters requiring attention are referred to delegated authority or handled in a manner so as to minimize the effect of Vice President's absence.
  • Other duties as assigned

Skills/Knowledge Experience Considered A Plus:
  • Prior administrative or Executive Assistant experience is preferred, ideally supporting more than 2 Vice Presidents and/or Directors
  • Working knowledge of FedEx systems (ie Workday, Oracle Cloud Financials, People Soft, Concur Travel system, etc.)
  • High proficiency with MS Office tools (Outlook, Word, PowerPoint, Excel, SharePoint and Teams/Slack communications tools).
  • Experienced with managing multiple calendars, setting up business meetings, and remediating conflicting schedules.
  • Experience with audio visual/virtual applications for conferencing and meetings.
  • Excellent written and verbal communication skills with all levels of employees and management.
  • Strong excellent organization, time-management, and critical thinking skills.
  • Demonstrated ability to work well and manage stress under pressure, with minimal guidance is necessary

Minimum Qualifications:
High school diploma/GED. Requires six (6) years related business experience including four (4) years as an administrative assistant. Typing proficiency, PC experience and ability to use Microsoft Office software. CPS or one (1) year of related college courses required. Good spelling, punctuation and basic English grammar skills. Ability to operate standard office equipment. Ability to compose correspondence for manager's signature. Ability to prioritize mail and telephone calls for manager's review and/or action. Good human relations skills.

This position is domiciled in Dallas/Plano.
