We are in search of an experienced Executive Assistant to play a pivotal role supporting our executive team. This position, based in our New York headquarters, demands a candidate with a proactive mindset, unparalleled organizational capabilities, and the capacity to autonomously manage diverse responsibilities. The role is central to supporting our co-founders, executive staff, and the broader Peachy network across various locales.

What You'll Do:

Office Management Duties:

  • Spearhead office administration, ensuring an immaculate, well-organized, and fully stocked environment.
  • Coordinate the upkeep of communal spaces, including the kitchen, to maintain a clean and professional workspace.
  • Curate a welcoming atmosphere by managing coffee preparation and fostering a positive environment for both employees and visitors.

Executive and Team Support:

  • Assume complete responsibility for arranging complex domestic and international travel for executives and teams, guaranteeing an efficient and orderly experience.
  • Provide personal assistant support to co-founders, managing sensitive and confidential information with the highest level of professionalism.
  • Lead the planning and execution of various corporate events and activities, overseeing all logistical aspects and arrangements, including catering services.
  • Serve as the primary point of contact for visitors, ensuring a memorable and professional first impression.
  • Manage the distribution and dispatching of mail and packages, alongside supervising outgoing shipments.
  • Effectively liaise with building management on matters of security, logistics, and other pertinent issues.
  • Take on a leadership role in facilitating ad-hoc projects as required.

Supply and Vendor Management:

  • Oversee the inventory and replenishment of office supplies, ensuring uninterrupted availability for the team. Lead the tracking and administration of expenses and inventory.
  • Coordinate catering orders for meetings or special events as necessary.

Shipping and Logistics:

  • Administer the comprehensive process of shipping and receiving, including supplies, products, and deliveries to clients, employees, and studios, ensuring accuracy and efficiency.
  • Maintain meticulous records of shipments and verify the accuracy of received goods.

Additional Duties:

  • Monitor and actively engage with Peachy's social media platforms, responding to messages and inquiries promptly.
  • Provide proactive and comprehensive IT support to both corporate and studio teams, with a focus on confidentiality, effective communication, and the use of platforms like Notion and Zoom.

What You Have:

  • A minimum of 1-4 years of experience in an Executive Assistant or similar high-level administrative role supporting C level and/or SVP level Leadership within a corporate setting. Preferred experience working in the following industries or environments; high growth start up, finance, real estate, multi-unit service based healthcare and/or beauty.
  • Demonstrated experience in executive support; managing complex travel itineraries, interfacing with building and facilities management, overseeing corporate social media engagement, event planning, and general executive office administration.
  • Exceptional organizational and multitasking abilities.
  • Outstanding communication and interpersonal skills, capable of representing Peachy with the utmost professionalism.
  • Advanced proficiency in essential office software, including Zoom, Google Suite (Docs, Slides, Sheets) and/or Microsoft Office (Word, PowerPoint, Excel).
  • Experience using Notion or a similar project management platforms preferred.
  • Proven ability to excel in a fast-paced environment, leading both independently and as part of a team.
  • Must be at least 18 years old and authorized to work in the United States without sponsorship.

  • The target pay range for this role is $65,000-$70,000/year. Peachy may pay more or less than the posted range based on factors including but not limited to: relevant experience and qualifications. This range may be modified in the future.
