Location: Huntington Station, NY 11746
We are seeking an experienced Executive Assistant/Bookkeeper/Office Admin who provides a wide variety of support services to higher level Management. This individual provides essential support including calendar maintenance, clerical work, financial reporting, ordering of supplies, mail distribution, travel arrangements/reimbursement and other related support duties.
Responsibilities
· Answer and direct phone calls
· Process Accounts payable and receivable
· Organize and schedule appointments
· Recording and maintaining a business’ financial transactions/records
· Write and distribute email, correspondence memos, letters, faxes and forms
· Maintain a filing system
· Order office supplies and research new deals and suppliers
· Book travel arrangements
· Submit and reconcile expense reports
· Act as the point of contact for internal and external clients
Requirements
· Proven experience as an Executive Assistant
· Knowledge of office management systems and procedures
· Working knowledge of office equipment, like printers and fax machines
· Proficiency in MS Office (MS Excel, Word and PowerPoint)
· Proficiency in QuickBooks
· Excellent time management skills and the ability to prioritize work
· Attention to detail and problem-solving skills
· Excellent written and verbal communication skills
· Strong organizational skills with the ability to multi-task
Job Type: Full-time
Pay: $21.00 - $27.00 per hour
Expected hours: 35 – 40 per week
Schedule:
- 8 hour shift
- Day shift
- Monday to Friday
- No nights
Ability to Relocate:
- Huntington Station, NY: Relocate before starting work (Required)
