Job Title: Volunteer Coordinator**
Job Description:
We are seeking a highly organized and personable individual to fill the role of Volunteer Coordinator. The Volunteer Coordinator will be responsible for managing the scheduling and coordination of our volunteers, ensuring smooth operations and effective communication between volunteers and the Programs Department.
Duties and Responsibilities:
· Timely response to all volunteer inquiries including help with scheduling, welcoming new volunteers, providing information about volunteer options, etc.
· Updating volunteer email list as needed
· Updating volunteer sign in list in accordance with those requesting to be added to the list.
· Coordinating with our partners at Citymeals on Wheels to incorporate bookings for their groups
· Managing and updating Volunteer calendar with adjustments, new bookings, and cancellations as needed
· Updating teams on volunteer expectations for following day
· Coordinating with teams on volunteer and partner needs
· Communicating and coordinating with NY Cares contacts for volunteer expectations, attendance, etc.
· Communicating and coordinating with Catholic Charities for volunteer requests and updating calendar with all individual requests
Weekly responsibilities include:
· Create sign ups in sign up genius for coming week
· Weekly email to volunteers with upcoming sign up options
Requirements:
1. High level of organization with proven experience in scheduling and coordinating tasks.
2. Proficiency in Microsoft Excel, Word, and Outlook.
3. Familiarity with sign-up software or the ability to quickly learn and adapt to new software platforms.
4. Previous administrative background, preferably in roles such as Administrative Assistant, Office Assistant, or Executive Assistant.
5. Customer service experience with the ability to interact professionally and effectively with volunteers and stakeholders.
6. Strong communication skills, both written and verbal, with the ability to convey information clearly and concisely.
7. Ability to maintain a professional appearance and demeanor when meeting with volunteers or stakeholders in-person.
