Job Description Summary
This hybrid role is based in our GoGo SqueeZ corporate office in New York City and primarily supports 2-3 Executives with all administrative duties. In addition, this role will partner with the team on reception, emergency response management, and office management. The Executive Assistant role requires significant customer first orientation, excellent presentation, exceptional interpersonal skills, strong organization skills, keen attention to detail, ability to effectively manage multiple priorities and ability to maintain high levels of confidentiality.
Job Responsibilities & Tasks:
- Support senior leaders with administrative duties such as:
- Proactively manage executives’ calendar
- Coordinate and communicate travel arrangements to executive and guests
- Prepare expense reports using Concur
- Validate executive direct reports’ PTO requests
- Organizing lunch, answering calls on behalf of executive
- Anticipating the executives’ needs and determine necessary resources. Exercises independent judgment and employs advanced reasoning skills. A wide degree of creativity and latitude is expected. Entrusted with very confidential/sensitive information
- Investigating and resolving problems on behalf of executive as needed
- Planning and arranging meetings, conferences, and special functions for staff, international colleagues, and guests
- Manage various projects or tasks on behalf of executives
- Manage the office:
- Coverage of reception/front desk during business hours.
- Management of common space including re-stocking supplies and snacks to ensure best experience and presentation.
- Administrative duties such as drafting/proofreading correspondence, maintaining office space/technology, ordering supplies, getting signatures, copying, scanning, mailing, shipping, and messengering, etc...
- Participating in office management tasks such as maintaining office equipment, implementing new security access card system, proposing storage solutions, and continuously monitoring for opportunities to increase office efficiencies.
- Managing USPS, FedEx, UPS mail (inbox and outbox)
- Support Employee Engagement Programs
- Participate & support in HR employee engagement events
- Coordinate office events Birthdays, baby showers, wedding showers, happy hours following our Spirit Squad and HR calendars
- Manage various projects or tasks on behalf of executives
- Prepare and create impactful, concise, and error free presentations
- Lead projects as assigned
- All other duties as assigned

Position Requirements:
EDUCATION
- Bachelor's degree in Business Administration or related field (preferred)
EXPERIENCE
- 3+ years of administrative experience in a fast-paced environment
- Experience with reception required
SKILLS
- Mastery level proficiency is required with computer applications (Word, PowerPoint, Excel, and Outlook)
- Must have understanding of computer procedures and applications well enough to suggest input/output requirements and the use of additional applications
- Initiative and strong communication skills a must. Ability to communicate effectively and succinctly, both verbally and on paper, and with all levels of an organization
- Creative problem solving, proactive mindset and initiative required
- Ability to function in a high demand, performance-driven environment
- Ability to work in collaboration with direct & external teams
- Exceptional interpersonal skills

PHYSICAL & TRAVEL REQUIREMENTS
- Must be able work in normal office conditions.
- Must be able to work a minimum of 8 hours per day in hybrid office environment
TOTAL REWARDS
- $70,000-$80,000/annually
- 7% bonus potential
