Duties and Responsibilities:
- Arranges and schedules meetings for the General Manager (GM). Initiates and responds to meeting requests and maintains calendar to ensure efficient scheduling.
- Ensures the GM is prepared for all meetings by gathering all necessary materials.
- Prepares agendas, organizes materials, and performs necessary follow ups.
- Serves as the gatekeeper of the GM's time by screening phone calls, requests and visitors in conjunction with the Corporate Receptionist.
- Interact with external and internal customers, including RCSC personnel, RCSC members and guests, and Board of Directors.
- Handles sensitive information, legal, and confidential business matters with a high degree of discretion.
- Organizes and manages projects from start to finish, often coordinating with multiple employees within RCSC, Cardholders and Board Members.
- Creates communications and presentations utilizing advanced PowerPoint, Word and Excel. Will also use MS Project and Visio to create materials as needed.
- Provide back-up assistance to Corporate Receptionist and other personnel in the corporate office, as required.
- Attend meetings as required or requested.
- Perform other duties as requested, directed, or assigned.
Qualifications:
- Minimum of 5 years of advanced level Administrative experience; Bachelor's degree preferred.
- Highly proficient with Microsoft Office Suite (Word, Excel, Power Point, Outlook).
- Proficient with Microsoft Project and Visio
- Must have flexibility regarding start and end of workday, as it may require hours outside of the traditional workday schedule.
Knowledge, Skills and Abilities:
- Extremely well organized and have experience handling highly confidential materials.
- Understanding of process design, development, and control.
- Ability to multi-task and adjust to changing priorities.

- Ability to always maintain complete and total confidentiality.
- Ability to work independently and plan daily workloads.
- High degree of accountability, initiative, dependability, and creativity.
- Ability to obtain and maintain a valid State of Arizona Driver's License.
- Ability to obtain and maintain Notary Public, desired but not required.
- Prior Board and Public experience/working knowledge helpful.
