POSITION PURPOSE:

The Executive Assistant performs advanced administrative oversight and support where results are timely, high quality and accurate. Supports the Office of the Vice President of Student Affairs (VPSA) in all aspects of administering the Student Affairs Division. Handles a wide range of administrative and executive support related tasks and works independently with little or no supervision.

DUTIES AND RESPONSIBILITIES:
  • Problem solve and triage issues brought to the office of the VPSA. Evaluate, analyze challenges to the Office and propose creative and effective solutions for optimizing VPSA Office administration.
  • Perform a variety of critical administrative functions for VPSA such as composing replies to correspondence on own initiative, interpreting and explaining established policy and procedure in response to inquiries from a variety of sources, summarizing reports and information to facilitate review by superior and investigating, evaluating and resolving problems within scope of position.
  • Under the direction of the VPSA, oversight of Risk Management for Student Affairs Division. Annual review, analysis, and recommendations to VPSA
  • Oversight of all Student Affair Division policies including annual review.
  • Coordination, management and oversight of the University Catalog and Student Handbook, meeting deadlines for annual publications.
  • Maintain Student Affairs Department budget including: approval/authorization of invoices; generating check requests; assigning proper budget codes; monthly variance reports and reconciliation for Student Affairs Department and all offices therein.
  • Responsible for heavy calendar management for the Vice President of Student Affairs, regularly prioritizing schedules, arranges reservations and itineraries; anticipates and prepares background materials needed.
  • Administrative support for the Vice President for Student Affairs on all University committees and at meeting, as appropriate to wok assignment. Creates agendas and presentations for meetings and events, and collects documents from partners to ensure the Vice President is prepared ahead of time.
  • Personnel: file maintenance; mediation; quarterly evaluation, authorization (monitor timesheets, review vacation/sick time accruals); assist Vice President of Student Affairs with personnel issues as they arise.
  • Provide guidance and assistance to students, faculty members and staff. Prioritize and manage multiple complex projects simultaneously, and follow through on issues in a timely manner
  • Coordinate and prepare materials for all special projects and programs as requested (i.e., Student Affairs Departments - Admissions Office, Registrar, Career Services, Financial Aid, Retention Office, etc.).
  • Under the direction of the VPSA, manages division assessment activities in support of the Office of Assessment: .i.e. Operational assessment, program assessments, compliance with federal, state and local laws.
  • Oversight of Student Services Lobby
  • Responsible for other duties as required.


KNOWLEDGE, SKILLS AND ABILITIES:

  • Experienced and energetic professional capable of delivering high-quality and fast-paced support to the Vice President of Student Affairs, and to the division staff at large.
  • Knowledge of Student Affairs areas and ability to apply knowledge to work assignment areas.
  • Knowledge of English composition, grammar, spelling and punctuation.
  • Knowledge of principles and techniques of Student practices, preferably in higher education.
  • Strong experience in MS Office (Outlook, Word, Excel, Access, and Power Point). Excellent calendar management skills.
  • Must be exceedingly well organized, flexible and enjoy the administrative challenges of supporting a small office.
  • Skill in oral and written communication; strong decision making ability and attention to detail are equally important.
  • Ability to interact with staff (at all levels) in a fast paced environment, sometimes under pressure, remaining proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role.
  • Ability to meet the public in situations requiring tact, diplomacy and poise. Practice of confidential discretion required.
  • Ability to work across organizational lines.


MINIMUM QUALIFICATIONS:

Associates degree or business school training highly desirable AND five (5) years’ experience supporting in an executive environment; OR, any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.
