JOB SUMMARY
We are seeking an Executive Assistant in support of, and a direct report to the Senior Vice President (SVP) of Duke University Health System (DUHS) and Head of the Duke Health Integrated Practice (DHIP). This position will be regularly required to resolve complex administrative problems independently and effectively manage all aspects of the SVP office.
JOB DUTIES AND RESPONSIBILITIES
- Perform a variety of administrative duties with wide latitude for exercising discretion and expert judgment. This includes all calendar management, phone coverage and email. This also includes responding to incoming and outgoing communication for the president.
- Act as liaison and communicate at an executive level with national and international bodies essential to the president's research and national roles and the committees to which the president belongs. Must understand the technicalities of president's role on these committees and be knowledgeable to the extent that communications are handled effectively and screened for priority and/or dealt with independently.
- Work independently to generate board documents and reports. Research and develop content in order to create effective presentation. Independently develop effective presentations for president to deliver.
- Address and, where possible, resolve departmental difficulties in the president's absence. Isolate day-to-day problems, interpret and assimilate complex issues and be able to demonstrate a competent understanding of the work of the Duke Health Integrated Practice.
- Act as a conduit to the president and anticipate the president's needs since his time commitments and obligations are extensive. The position must communicate and demonstrate confidence to an exceptionally high level about all matters concerning the DHIP.
- Independently plan and coordinate special projects on behalf of the president to meet strategic goals and objectives.
- Assist with special events planning and regularly scheduled meetings.
- Handle confidential information which would have immediate negative impact on the company operations, performance, or value if shared beyond its intended audience.
JOB ELIGIBILITY REQUIREMENTS
- Work requires a business/office management background generally equivalent to a bachelor's degree in a business or secretarial related field.
Knowledge generally acquired through six years of executive secretarial experience of increasing variety and/or complexity.
