What you need to know about the role

Global Customer Services (GCS) is seeking an Executive Assistant to support two VPs and their global teams in a fast paced, constantly changing environment.

Meet Our Team:

Our Business Operations team support key activities within Global Customer Service (GCS) and consists of Analysts and Program Managers focused on different activities, from supporting Business Planning and Program Management to GCS Communications and Executive Support.

As we are a small team, there will be opportunities to learn and support others in the team over time.

Your way to Impact:

The GCS Executive Assistant will be detail oriented and understand how and where information supports our leaders and decision making. This person will be able to multitask, have strong organizational skills and be willing to learn other tools and skills to support the team. Exceptional communication skills, an eye for detail and accuracy and the ability to anticipate the needs of the leaders they support will be critical.

We will also be looking a person who thrives in quick paced and collaborative team environment.

You will work independently but have support to guide you.

Your Day to Day:

  • Organize and maintain complex calendars using a high level of tact and integrity. Will need to know how to schedule meetings across multiple time zones.
  • Communicate proactively via leader’s preferred methods.
  • Ability to be flexible around the leader’s working hours.
  • Manage leaders daily schedule and prioritize meetings. Follow up on request items.
  • Make complex travel arrangements expeditiously and accurately.
  • Prepare and track expense reports.
  • Support all logistics for team meetings, off-sites, and events.
  • Anticipate needs and take initiative to solve problems independently.
  • Proactively identify opportunities to make the overall team more efficient over the long term.
  • Follow up on action items on behalf of the executives, as appropriate.
  • Engage in proactive and real-time engagement, building rapport and trust, and communicating via leaders preferred methods.
  • Consistently check in with leaders before meetings are scheduled or declined.
  • Understand the priority of asks from your leaders, ensuring you react to their expectations.
  • Proactively provide leaders with updates on task progress and completion.
  • Exercise good judgment and discretion, as well as professionalism, when communicating or responding to situations requiring solutions.
  • Be an active member of the Enterprise Services Executive Assistant team and participate in team meetings.
  • Help provide coverage when other Enterprise Services Executive Assistants are out on PTO, sick leave.
  • Handle special projects as they arise.

What you need to bring:

  • Experience in handling a wide range of administrative-related tasks, organizing large meetings across time zones and arranging travel.
  • Demonstrated ability to work with a sense of urgency and under pressure, as needed to handle multiple tasks and prioritize effectively.
  • Demonstrated ability to act diplomatically and respectfully when communicating with key internal and external customers and individuals of varying levels.
  • Demonstrated ability to take the initiative to spot problems before they arise, find solutions, and provide timely follow-through on projects.
  • Highly organized with an ability to demonstrate meticulous attention to details, adaptability, flexibility, resourcefulness and efficiency.
  • Self-starter and self-directed: understands the needs of the executives and proactively helps and addresses gaps and opportunities.
  • High level of integrity required for handling sensitive and confidential information.
  • A “can-do” attitude that focuses on getting the job done with politeness and good cheer.
  • Team player and comfortable working within Executive Assistant team dynamic, as well as working with other stakeholders and partners.
  • Flexibility to accommodate leaders global travel schedule.
  • 8+ years relevant work experience supporting at the SVP or VP level in a complex and dynamic environment.
  • Proven competency using MS Office applications; Outlook, Word, Excel, and PowerPoint.
  • Excellent communication skills (both written and oral).
  • Comfortable taking direction from members of the senior leadership’s support team.
  • Relevant work experience supporting at the senior executive level in a complex, dynamic and global environment.
  • Passionate about PayPal with a strong understanding of our products.

The U.S. national hourly pay range for this role is $16 to $55
