Job Description
Reporting directly to the Chief Executive Officer (CEO), you will be responsible for providing corporate and personal level support to our CEO and will play a critical role in ensuring smooth operations and efficient communication within the executive team and the Office of the CEO. Your ability to act proactively, anticipate needs, exercise good judgment, maintain strict confidentiality, demonstrate strong follow-through and maintain a high level of professionalism will be essential.
WHAT YOU WILL DO
- Coordinate and manage the CEO calendar, including scheduling meetings, appointments, travel arrangements, expense reports and anticipate all travel needs.
- Ensure the CEO remains on schedule and anticipate scheduling changes, making adjustments in CEO’s calendar quickly.
- Prepare and edit CEO correspondence, reports, and presentations utilizing Word, Excel, PowerPoint and MS Teams.
- Serve as the first point of contact for internal and external stakeholders, ensuring timely and professional communication and follow-up.
- Maintain confidential information and exercise discretion when handling sensitive matters both internally and externally.
- Organize and coordinate executive-level meetings, conferences, and events.
- Prepare meeting agendas, documents, and presentations, ensuring accurate minutes are maintained.
- Collaborate with other department team members to support and facilitate cross-functional CEO or Executive Leadership Team special projects.
- Assist with the preparation and management of budget and expense reporting for the Office of the CEO.
- Collaborate with Department Specialists and other internal/external stakeholders to manage meetings with multiple stakeholders and/or Executive Leadership Team presence.
- Collect and prepare information for use in discussions/meetings of executive staff and outside individuals.
- Help to structure calendar cadence to support long-term business objectives.
- Ensure CEO is aware of issues that need immediate attention. Follow-up on pending matters.
- Receive and screen visitors, telephone calls, and letters. Answer questions and provide information requiring an understanding of the department and the SFHP organization, operations and procedures.
- Interface with Governing Board members regularly and support Special Projects and Events Coordinator with providing support and hospitality for all Governing Board meetings.
- A high School Diploma or General Education Development (GED). A Bachelor's degree or equivalent work experience in administrative services or related field preferred.
- Minimum of seven years of experience performing administrative support functions for senior or executive level management.
- Superior interpersonal skills and the ability to build relationships with stakeholders including staff, board members and external partners.
- Expert level written and verbal communication skills, including the ability to ask clarifying questions and work with senior management, internal and external clients.
- Exceptional attention to detail with the ability to anticipate needs.
- Ability to pivot and respond to rapidly shifting priorities.
- Experience in coordinating and providing support in a fast-paced, complex environment.
- Ability to create Excel and Word tables; merge documents; create pivot tables; and develop graphics and PowerPoint presentations from notes.
- Experience with complex scheduling at the CEO/Executive level, including travel and offsite meetings.
