The Executive Assistant will provide high-level administrative support to the Chief Executive Officer (CEO). Plan and orchestrate work to ensure that CEO’s priorities are met, organizational goals are achieved, and best practices are upheld.
DUTIES AND RESPONSIBILITIES:
- Support the CEO to ensure that organizational goals and objectives are accomplished and that operations run efficiently
- Manages CEO’s calendar, including making appointments and prioritizing sensitive matters; coordinates complex scheduling
- Maintain and refine internal processes that support the leadership team, and coordinate internal and external resources to expedite workflows
- Manage communication with employees by liaising with internal and external employees on various projects and tasks
- Provides administrative and office support, such as typing, dictation, spreadsheet creation, and maintenance of filing system and contacts database
- Organize team communications and plan events, both internal and off-site
- Arranges travel and accommodations for CEO, including logistics, transportation, and meals
- Maintain professionalism and strict confidentiality with all materials
- Maintains comprehensive and accurate records
- Organizes meetings, including scheduling, sending reminders, and organizing catering when necessary; gathers documents and attending to logistics of meetings
- Prioritize CEO’s emails and responds when necessary
- Coordinates flow of information to senior leadership
- Schedules and attends meetings on behalf of CEO, taking notes and recording minutes
- Receives incoming communication or memos on behalf of CEO, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff
- Performs office tasks including maintaining records and ordering supplies
- Performs other related duties as assigned
EDUCATION AND EXPERIENCE:
- High school diploma required; Associate’s Degree or Bachelor’s Degree in Business Administration or related field preferred
- At least four years of related experience in an administrative role reporting directly to upper management

- Experience working in a social service environment and familiarity with not-for-profit best practices
- Experience in a fast-paced, growing company and/or demonstrated effectiveness in a small organization
- Excellent Communications and Written Skills
- Excellent time management skills with a proven ability to meet tight deadlines
- Excellent organizational skills and attention to detail
- Ability to type 50+ words per minute
- Extremely proficient in Google Suite with the ability to learn new/updated software
- Ability to lead, work independently, and work in a team environment
