- Executive Support: Provide high-level administrative support to the CEO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
- Communication: Serve as a primary point of contact for internal and external stakeholders, screening and prioritizing correspondence and inquiries.
- Documentation and Reporting: Prepare and edit documents, presentations, and reports for the CEO, ensuring accuracy and professionalism.
- Meeting Coordination: Organize and prepare materials for meetings, including agendas, presentations, notes, and follow-up action items.
- Project Management: Assist in the execution of special projects and initiatives as directed by the CEO, coordinating cross-functional teams and ensuring deadlines are met.
- Confidentiality: Handle sensitive information with discretion and confidentiality, maintaining the highest level of professionalism at all times.
- Gatekeeper Role: Manage the CEO’s schedule and ensure it is respected, acting as a gatekeeper to facilitate access to the CEO’s time and office.
- Internal/External Engagement: Coordinate activities related to the CEO's public engagements, such as speaking events, community involvement, and interviews.
- Perform other duties as assigned.
- Bachelor's Degree or equivalent experience preferred
- 3 years of Executive Assistant experience required.
- Proven experience as an EXECUTIVE ASSISTANT or administrative assistant, preferably supporting C-suite executives.
- Exceptional organizational and time-management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Excellent written and verbal communication skills, with attention to detail and accuracy.
- Proficiency in Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Strong interpersonal skills and ability to collaborate across all levels of the organization.
- Demonstrated discretion and confidentiality.
- Ability to anticipate needs, problem-solve, and take action with minimal supervision.
- Experience managing T&E expenses and accurate expense reporting.
- Ability to interact effectively with customers, industry partners, and employees, representing company values.
