Qualifications High school diploma or GED required. Bachelor's degree preferred. 5+ years of related Executive Assistant experience is required (preferably in a medical/academic setting).
Ability to work under pressure and meet demands of a fast paced area and prioritize workload to meet deadlines. Must have excellent organizational, time management skills to include the ability and independently manage multiple tasks simultaneously and within time guidelines. Excellent interpersonal skills required to include the ability to maintain strict confidentiality and demonstrate discretion in communications with others Excellent written and verbal communication skills required.
Advanced knowledge of Microsoft Office applications to include Outlook, Word, Excel spreadsheets, Power Point and Access, and grant application mechanisms required. Must demonstrate strong attention to detail. Familiarity with advanced internet research required.

Conditions of Employment PRIMARY FUNCTION: Assists in day-to-day operations of the Chair, SVP, VP and Administrator in Radiology.
Responsible for handling incoming calls, greeting and assisting guests and visitors to the Chair's office. Assists in electronic and paper filing, managing calendars, scheduling and recordkeeping and other duties as assigned. Must be detail-oriented and able to handle confidential information in a professional manner.
ESSENTIAL FUNCTIONS: Hours: Full time - 8am - 5pm , Mon- Fri. (100% on site ) Primary Responsibilities: Works with the Chair on onboarding and the separation process of faculty. Responsible for the recruitment and completion of faculty appointments to TJUH and SKMC.
Work with budget manager to generate the SFRAR to submit to open positions, advertise the positions on websites, coordinate interviews, distribution of contract offers, review of applications and privileges, generating letters of recommendation for TJUH and SKMC appointments for all enterprise sites and scheduling necessary trainings. Works with members of the medical college and others to assist in the promotion process as needed. Solicits for letters of recommendations for promotions and appointments for our faculty and affiliate faculty.
Orders and maintains inventory of various office, computer and general administrative supplies (small scale). Coordinates departmental administrative meetings, including taking and distribution of minutes of faculty meetings. Uses Concur to reimburse Chair, SVP, VP and Administrator for expenses.
