Executive Assistant – Job Description

Job Summary
The Executive Assistant will provide administrative support to the COO and other senior staff. The Executive Assistant is a friendly and detailed person who works with little or no supervision but can be highly collaborative as needed. They must be able to learn and understand and foresee the needs of the COO. They should possess excellent time management and verbal and written communication skills.
Job Details:
· Provides administrative support and assistance to the Executive Directors and/or other assigned leadership staff.
· 30-40 Hour Work Week--flexible work schedule. Some overtime may be occasionally required depending on workload.
· Culver's training in one of our local restaurants will be required- this is to understand what the core of our business is.
· Must be a self-starter, self-motivated (ONCE fully trained), able to work on own and alone.
· Regional auto travel and ride-sharing with COO and other leadership will be required. Will be paid mileage for miles driven with personal vehicle. Planned and discussed overnights are possible, but infrequent. Must have a valid driver’s license and reliable transportation.
· Prepares agendas and schedules for meetings.
· Answers and transfers phone calls, screening when necessary.
· Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and other documents for COO and senior staff.
· Arranges travel and accommodations.
· Schedules and attends meetings on behalf of executives, taking notes and recording minutes.
· Receives incoming communication or memos on behalf of COO and senior staff, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
· Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping.
· Communicate to the COO what was completed in a weekly report at the end of the week.
· May assist in training other employees
· Performs additional duties as assigned by COO and other senior staff.
Other Tasks
1. Systems Management –Maintain proper records in various software and systems
2. Assist in marketing related items, guest complaints as assigned, donation requests, script orders, and information requests
3. Assist the General Managers in any way that is reasonable while in the restaurant environment.
4. Assist the Office Director, HR Manager, or other senior staff with special projects.

Compensation and Benefits
Starting pay for this position will be $18.00-$21.00 + (entirely dependent on experience and job history). The individual’s wage will increase once they are fully trained, have a good understanding of the needs of the position and the executive they are supporting, and require minimal supervision to complete their tasks. The position requires a flexible availability including occasional nights and weekends.
