Executive Assistant at Contour Spa & Wellness
Position Overview: Contour Spa & Wellness, a rapidly growing and innovative company in the wellness industry, is seeking a proactive and detail-oriented Executive Assistant to support the company's executive team. The successful candidate will play a pivotal role in accelerating the company's growth by efficiently driving strategic initiatives, managing administrative tasks, financial activities, and operational processes.
Responsibilities: The Executive Assistant will be responsible for a diverse range of tasks, working closely with the executive team to ensure smooth operations and efficient growth. Key responsibilities include:
Calendar and Email Management: Coordinate and manage appointments, meetings, and events on behalf of the management team. Monitor and prioritize incoming emails, respond as necessary, and ensure timely follow-up.
Financial & Payroll Reconciliation: Assist in reconciling financial transactions and payroll activities. Collaborate with the finance team to ensure accurate and up-to-date financial records.
Expense Tracking & Reports: Monitor and record expenses, prepare expense reports, and contribute to the creation of financial reports for management review.
New Location Support: Aid in the setup of new spa and wellness locations, including changes to websites, system setup, and coordination of equipment and supplies.
Inventory Management: Oversee inventory orders, maintain records of inventory levels, and track the status of orders to ensure timely replenishment.
Process Documentation: Create and maintain checklists, manuals, and process documentation to ensure consistent and efficient operations across all locations.
Document Review and Editing: Review and edit documents, emails, presentations, and other written materials for accuracy, clarity, and professionalism.
Equipment and Supplies Ordering: Manage the procurement of equipment, supplies, and devices needed for spa and wellness centers.
Travel Arrangements: Arrange travel logistics, including booking flights, accommodations, transportation, and itineraries.
Lease Drafting and Docusign: Assist in drafting leases and other legal documents, and facilitate the execution of contracts using Docusign or similar platforms.
Monthly Bookkeeping: Collaborate with the finance team to support monthly bookkeeping activities and ensure accurate financial records.
Qualifications:
- Proven experience as an Executive Assistant or in a similar role.
- Strong organizational skills with the ability to manage multiple tasks and priorities.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite and other relevant software.
- Familiarity with financial processes, payroll, and expense tracking.
- Detail-oriented and proactive approach to problem-solving.
- Ability to maintain confidentiality and exercise discretion.
- Knowledge of document editing and formatting.
- Legal knowledge or experience in drafting documents is a plus.
- Prior experience in a rapidly growing company or the wellness industry is advantageous.
