Job Description
We are looking for a high-level, concierge-minded Executive Assistant to be a key role in our boutique wealth management firm. This person must possess excellent client service skills, be comfortable engaging with clients as well as a problem solver. Some responsibilities of this role include:
- Provide high-level administrative support to advisors and staff.
- Manage executive calendars and schedule appointments.
- Coordinate and arrange meetings, conferences, and travel arrangements.
- Assist with client experience including onboarding, paperwork, and presentations.
- Utilize CRM to oversee contacts and workflow.
- Handle confidential information with discretion and maintain strict confidentiality.
- Manage website content and create social media strategies.
- Serve as first point of contact, be professional and courteous on the phone and in-person.
- Ensure office efficiency, overseeing supplies, equipment, and overall organization.
- Oversee office technology and manage vendor relationships.
- Conduct research and compile data for various projects.
- Work collaboratively with co-workers.
Requirements
- Associate degree or equivalent required.
- Minimum of five years of proven experience as an Executive Assistant or similar role.
- Proficient in office management software (e.g., Microsoft Office Suite).
- Knowledge and experience with social media platforms.
- Experience in calendar management and scheduling.
- Excellent organizational and time management skills.
- Strong data entry skills with attention to detail.
- Familiarity with Outlook Calendar and phone systems.
- Professional demeanor with excellent communication skills.
- Ability to multitask and prioritize tasks effectively.
