Job Description:
The Executive Administrative Assistant is responsible for carrying out administrative functions in order to support one or more Executives. This individual directly assists with the administration and the day-to-day support for both an Executive(s) and their team(s), in addition to completing any ad hoc project needs.
Responsibilities:
- Works on tasks including, but not limited to, scheduling internal and external meetings and appointments, screening phone calls and emails and handling general administrative tasks.
- Manages and maintains the calendars of two executives, which includes scheduling meetings, arranging travel details and forwarding pertinent messages and emails.
- Performs administrative duties including scheduling or recurring meetings, department document maintenance, and information gathering.
- Creates agendas and organizes all of the necessary documents for meetings.
- Researches, coordinates and arranges team events.
- Provides assistance to other executives to ensure that they have the necessary support.
- Completes executive expense reports as well as ordering office supplies as needed.
- Handles details of a confidential nature and performs administrative functions based on the understanding of company policy.
- Communicates interdepartmentally through crucial conversations with individuals ranging from assistants to executives.
- Acts as point of contact for executives and employees, as well as external clients.
- Completes ad-hoc administrative duties in support of the executive team.
Qualifications:
- Bachelor’s degree from an accredited college or university in Business or related field preferred
- 5 + years of relevant experience in an administrative or support function at the executive level
- Strong communication skills, verbal and written, are required
- Intermediate skills in Microsoft PowerPoint, Excel, and Word
- Working knowledge of Microsoft Outlook, including scheduling functions
- Ability to maintain confidentiality
