Example of Duties
The Executive Assistant provides confidential, administrative support to the Executive Director, who delegates a substantial amount of administrative detail and non-routine work to the Executive Assistant, including preparation and maintenance of budget, accounts payable, procurement card payment approvals, federal Equal Employment Opportunity Commission (EEOC) contract payments, coordination with other municipal departments, and preparation of reports in support of the agency. The Executive Assistant prepares and serves certificates of service for agency filings, monitors agency performance under the federal EEOC contract, and maintains data in both the Anchorage Equal Rights Commission (AERC) and EEOC databases, auditing periodically for accuracy. The Executive Assistant monitors and prepares weekly and monthly statistical reports, assuring compliance with the EEOC contract, reporting any abnormalities to the Executive Director, and taking action to correct abnormalities. The Executive Assistant prepares pleadings in reconsideration cases, as well as appellate cases filed in the court system. The Executive Assistant's broad scope of duties assures the professional image of the agency and supports the Executive Director as needs arise. Performs other related duties as assigned.
Minimum Qualifications / Substitutions / Preferences
High school diploma, GED, or the equivalent and three (3) years of experience in office clerical or secretarial functions, which must include spreadsheet applications, word processing programs operation, scheduling and/or coordinating meetings.
OR
Associate's degree in Business Administration, Accounting, Legal Studies, Paralegal Studies or similar discipline and one (1) year of experience in office clerical or secretarial functions, which must include spreadsheet applications, word processing programs operation, scheduling and/or coordinating meetings and functions.
Ability to type at least 35 WPM. (Must be attached to your application)
Preferences:
Experience as a legal secretary.
Experience as a paralegal.
