Executive Assistant to the CEO and Assistant to the Boardof Directors Management

Anchorage, AK CEO

Executive Assistantand Assistant to the Boardof Directors position will assist the CEO andBoard of Directors in all facets of the CEO's and Board's duties to the Corporation. This includes supporting the CEO in all aspects of managing the day-to-day operations of the company. The position will also serve as Assistant to the Board of Directors including organizing and coordinating Board activity to ensure the Board is situated to do its work.

EMPLOYMENT CLASSIFICATION

The position of Executive Assistant to the CEO and Assistant to the Boardof Directors is a regular, full­ time, non-exempt position.

RESPONSIBILITIES

  • Handle important organizational matters for the CEO and Board in confidence and with discretion.
  • Assist in developing important organizational events and meetings.
  • Maintain a daily schedule of meetings and events for both CEO and Board. This includes both day-to-day internal and external meetings. It also Includes assisting in long-term planning for Kuukpik Corporation.
  • Assisting and supporting planning for and management of important events including the Annual Meeting and Annual Board Retreat
  • Assist in creating Word, Excel, and PowerPoint presentations, agendas, reports, special projects, and other documents.
  • Arrange travel and accommodation for the CEO and Board.
  • Serve as the gatekeeper for incoming requests for meetings and appearances for the CEO. This includes screening incoming calls, taking and relaying accurate messages, responding to requests by providing information, and referring routine inquiries to the appropriate staff.
  • Plan and coordinate the Board of Director's schedules and logistics.
  • Attend all Board meetings including regular, special, and annual meeting and travel with the Board as requested.
  • Prepare or collate meeting materials for the Board including notifications of meeting dates for the Board, agendas, Board meeting packets and other materials for distributions prior to meetings.
  • Assist in transcribing monthly meeting Board minutes in conjunction with the Corporate Secretary and other meetings as requested.
  • Assist in preparing support materials for annual shareholder meetings including notification of meeting dates to shareholders, registration of shareholders, solicitation of candidates, ballots for elections.
  • Work with Director of Elections in preparing for Board elections, including assist in preparing the Proxy packets and material needed to hold annual shareholder meeting and most importantly conduct annual Director's election.
  • Catalog and store meeting recordings and resolutions, Board packets, reference materials including maintenance of computer files of relevant correspondence on server.
  • Assist Heirship and Finance Committee when needed.
  • The duties listed above will occur at the direction of the CEO.
  • All other duties as assigned.

QUALIFICATIONS

  • Strong preference for Kuukpik shareholder or family of shareholder
  • High School diploma or equivalent
  • College degree preferred
  • Two years of transcribing, taking minutes and meeting preparations
  • Computer skills, Word, Excel, PowerPoint, and internet
  • Professional administrative experience
  • Effective communication skills (written and oral)
  • Ability to work productively with other staff
  • Ability to work independently and with minimal supervision
  • Bilingual proficiency in English and lnupiat preferred
  • Must have a valid driver's license
  • Must be able to work in diverse environment
  • Must be able to travel periodically

SALARY

Negotiable, based on demonstrated abilities and qualifications (DOE) (DOQ)

Job Type: Full-time

Pay: $40.00 - $70.00 per hour
