Duties:
- Provide sophisticated calendar management for interim CEO by prioritizing inquiries and requests while troubleshooting conflicts; while making recommendations to ensure smooth day-to-day engagements.
- Act as a liaison to the Board of Directors, by arranging and managing all logistics for board meetings and events. This could include: scheduling meetings; drafting agendas; developing, compiling, and distributing presentation materials; and recording meeting minutes.
- Responsible for knowing and complying with all rules and regulations set in the bylaws regarding board matters.
- Assists with special projects; designing and producing complex documents, reports, letters, memos, and other written and/or digital documents.
- This position collects and prepares information for meetings or presentations with staff and outside parties on behalf of the interim CEO.
- Maintains contact lists; and completes mileage reports.
- Helps manage JAMHI's web presence and maintain the social media calendar to include; JAMHI’s website, social media pages (Facebook, Instagram, Linkedin), Google Business, Fishbowl, and others as directed.
- Web site page development, updates, etc. liaison with Basecamp.
- Reviews administrative and technical documentation for accuracy and quality
- Attend regular administrative and monthly All Staff meetings
- Provide support by occasionally replenishing office materials such as snacks, paper, office supplies, etc.
- Provide hospitality to all guests and help to create a welcoming environment.
- Answer phone calls and respond to both written and verbal inquiries in a timely manner.
- Remaining in compliance with all state and federal laws governing the agency’s operations; and consistently maintaining complete confidentiality of all clinical, medical, financial, employee, computer, and other sensitive materials.
- Demonstrate excellent customer service by communicating, and conducting activities and interactions in a cooperative, positive, and professional manner.
- Invest in building long-lasting relationships both externally and internally with all those this position comes in contact with.
- Perform other duties as assigned
Qualifications:
All JAMHI positions require the ability to pass a criminal background check in accordance with the current state regulation requirements and a valid Alaska driver’s license and be able to clear the JAMHI auto insurance screening through the independent insurance carrier and/or if driving.
- High school diploma or equivalent;
- One-year of experience as an Executive Administrative assistant or three years’ general administrative.
Preferred Qualifications:
- Business-related Bachelor’s or Associate’s degree preferred.
