Executive Assistant I
Overview:
The Executive Assistant I will assist with the day-to-day administrative and support functions for the Nursing Pathway in the Division of Health & Public Safety, one of four academic divisions at Cincinnati State Technical & Community College. The Executive Assistant I collaborate with other administrative support personnel to ensure smooth operations and optimal customer service to students, faculty and visitors. The environment is fast-paced and student-focused. Schedule may vary depending on Divisional needs during peak enrollment periods.
Essential Duties:
- Provide secretarial/administrative support for the Associate Dean/Director of Nursing, Program Chairs and Faculty in the Nursing pathway
- Support the Division and front office when needed
- Receive visitors, answer telephone, and relay messages
- Assist students in making appointments with advisors and instructors
- Assist in compilation of reports and organizing documents for accreditation
- Coordinate mailings and other large-scale messaging
- Scan student background checks into Image Now and keep originals organized and filed in locked area
- Scan Nurse Aide Training Documentation and create paper files for Nurse Aide Training Coordinator.
- Make Associate Dean/Director of Nursing aware of any positive background checks so these may be reviewed.
- Prepare program letters of completion from College data base for Director, and format for submission to Ohio Board of Nursing (OBN)
- Assist Associate Dean/Director in maintaining faculty and student files as required by OBN and ACEN
- Assist in preparations for Ohio Department of Health, Board of Nursing and ACEN accreditation visits.
- Maintain records of purchases of supplies and materials required
- Arrange meetings and take minutes when requested
- Assist in coordination of events and activities
- Manage Outlook calendars for Director of Nursing
- Support and contribute to meeting Division and institutional student success goals and key performance indicators
- Perform other duties as assigned by the supervisor and Dean, Health & Public Safety
Minimum Qualifications:
- High school diploma or equivalent
- Minimum of two (2) years of secretarial/administration experience in a professional office setting
- Experience and strong competencies in Microsoft Office suite of business software, including Word, Outlook, PowerPoint and Excel
- Experience and competency in developing, managing and maintain databases using Excel, Access or other similar software
- Highly developed customer service skills and the ability to maintain courteous service during high volume periods
- Ability to work assigned schedule which may include schedule variations during peak enrollment periods
Preferred Qualifications:
- Associate's degree in relevant field
- Four (4) or more years of secretarial/administration experience in a professional office setting
- Experience with Ellucian Colleague
- Experience working in a higher education / community college setting
- Experience working in a Nursing program
