Job Title:Executive Assistant

Department: Administration

Reports to: Executive Director

Salary: $21 to $25 per hour DOE/DOQ, Grant Designated

Job Type/Status: Non-exempt; Regular full time

Location: San Fernando, in-person, some travel

Effective Date: 01/25/2024

Position Summary:

The Executive Assistantwill be responsible for the overall administrative support of Pukúu Cultural Community Services (Pukúu)’s management and operation of its programs, colleagues/staff and facilities. In this role the Executive Assistant will support the Executive Director with the implementation of organizational policies and practices while providing executive level personnel support.

About Pukúu Cultural Community Services:

Pukúu Cultural Community Services (Pukúu) is a social service non-profit founded in 1971 by the Fernandeño Tataviam Band of Mission Indians with a mission to invest in sustainable programs that bridge and improve opportunities for American Indians with culturally-based community services now and for future generations. Pukúu offers programs for Native Americans ranging from housing stability, education support, cultural enhancement, child and family development, emergency financial assistance, employment programs, and more in Los Angeles county.

Primary Duties, Functions and Responsibilities:

  • Assist the Executive Director with the organization’s development activities.
  • Assist the Executive Director with board meeting preparation, report preparations and special project preparation.
  • Assist the Executive Director with reports for funding entities.
  • Maintain employee personnel functions, payroll, and time submissions.
  • Assist the Executive Director clerically and administratively.
  • Answer phones, direct callers and visitors to appropriate personnel as needed.
  • Keeps the Board of Directors and staff well-informed regarding activities, pending issues and potential problems.
  • Be present at required meetings, transcribe, and prepare minutes.
  • Type and file paperwork and documents.
  • Adhere to agency policies and procedures and advances the goals of Pukúu in a manner that embodies the agency’s philosophy.

· Maintain strict confidentiality of personnel information adhering to Pukúu policies and procedures.

  • Assist with program development.
  • Assist with the preparation of various reports.
  • Other responsibilities as assigned by the Executive Director.
  • Represents the agency at community, government, or business meetings.
  • Provide coordination and assistance with Pukúu scheduled events and meetings.

Position Qualifications

Knowledge, Skills and Abilities:

Required

· Ability to exercise an excellent work ethic: time management, organization, punctuality, good judgment, and interpersonal skills.

· Ability to self-start and work both independently and as a team member.

· Responsibility to demonstrate professionalism, excellent customer service and behavior that reflects the fabric of the community.

· Minimum 3 years of previous administrative experience.

· Precisely follows directions and uses good judgment when clear direction is unavailable.

· Effectively communicates in the English language both verbally and in writing.

· Willingness to learn new skills for the position.

· Available and willing to travel as needed.

· Available to work evening and weekend hours as needed.

· Knowledge of and/or awareness of Native Americans, California Tribal Nations, and Indigenous Peoples.

Education: AA degree or 3 years of organizational management experience.

License: Must have a valid California Driver’s License, personal transportation, and be insurable to drive company vehicles.

Technology: Must have a strong skillset with Microsoft applications, especially Word and Excel.

Desired Preferences

· Experience working with a Native American organization, community group, or Tribe.

· Two years of experience in a social service agency, foundation, or school district.

Setting, Policies and Requirements

Pukúu Cultural Community Services is a Native American serving non-profit corporation, which provides social services, youth services, health education, cultural programming, and outdoor environmental programming. The Executive Assistant will operate in multiple environment settings, including a professional office environment and indoor/outdoor event spaces.

In the office setting, this position is classified as a sedentary environment with walking and standing regularly for routine use of standard office equipment such as computers, phones, photocopiers and filing cabinets. Exerting up to twenty pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Walking and standing are required regularly in the office, programming, and outreach events. Regularly talking and hearing with staff and community. Low to moderate noise level in the work environment.

The employee must be able to safely drive him/herself locally and generally in the greater Los Angeles area. The successful applicant will meet requirements of background/fingerprint clearance, U.S. work authorization, insurance driving requirements, possess vehicle for reliable transportation, acceptable DMV record to maintain auto insurance coverage, pass a drug test, maintain a drug free workplace, and abide by all applicable laws. All employees must comply with Pukúu’s workplace and contractual policies.

Confidentiality

This position develops, maintains, and is responsible for safeguarding electronic and hardcopy files containing sensitive client and proprietary information. The Executive Assistant must maintain confidentiality of all work product or files pertaining to Pukúu Cultural Community Services, and the Fernandeño Tataviam Band of Mission Indians, tribal departments, citizens, and all other material that may identify individuals/organizations by name (either directly or by reference), as set forth by the Tribe and Pukúu, including adherence to a professional code of conduct and laws, such as HIPAA and case law. Any violation in this matter may result in immediate termination of employment.
