Position Summary:
This role supports a Division President and will play a pivotal role in ensuring the efficient operation of the executive office. This role will be responsible for providing high-level administrative support, enabling the Division President to focus on strategic decision-making and overall business objectives. This role demands exceptional organizational skills, discretion, and the ability to maintain a professional and confidential environment.
Essential Duties and Responsibilities:
- Calendar Management: Proactively manage and maintain the Division President's complex and frequently changing schedule, including prioritizing meetings, appointments, and travel arrangements to optimize time management.
- Communication Management: Serve as the primary point of contact between the Division President and internal/external stakeholders (in collaboration with Employee Communications Director as appropriate). Screen and prioritize emails, phone calls, and correspondence, responding on behalf of the executive as necessary.
- Meeting Coordination: Arrange and prepare for meetings, including agenda creation, meeting materials, and logistics. Ensure that meetings run smoothly and effectively.
- Travel Arrangements: Coordinate international and domestic travel arrangements, including flights, accommodations, and ground transportation, while keeping a keen eye on cost management.
- Document Handling: Create, edit, and proofread documents, reports, and presentations. Maintain a filing system for essential documents and ensure they are readily accessible.
- Expense Management: Manage expense reports and reimbursements for the Division President, ensuring accuracy and adherence to company policies.
- Project Support: Assist in project management, research, and coordination of key initiatives, serving as a liaison between the Division President and various departments.
- Confidentiality: Handle sensitive and confidential information with the utmost discretion and professionalism.
- Office Management: Oversee the daily operations of the executive office, including ordering supplies, maintaining office equipment, and coordinating office services.
- Special Projects: Undertake ad-hoc projects and assignments as requested by the Division President.
Required Qualifications:
- Education: Bachelor's degree in Business Administration, Management, or a related field is preferred.
- Proven Experience: At least 5 years of experience as an Executive Assistant supporting C-suite executives or senior leadership in a corporate setting.
- Organizational Skills: Exceptional organizational and time-management skills with a strong attention to detail.
- Communication Skills: Excellent written and verbal communication skills, including professional phone etiquette.
- Technology Proficiency: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and the ability to adapt to new software and tools.
- Adaptability: Ability to work in a fast-paced environment, handle multiple tasks simultaneously, and prioritize effectively.
- Confidentiality: Demonstrated ability to handle sensitive information with discretion and maintain a high level of confidentiality.
- Problem Solving: Strong problem-solving and critical thinking skills to anticipate needs and provide solutions.
- Team Player: Collaborative and able to work effectively with cross-functional teams and stakeholders.
- Professionalism: Maintain a professional appearance and demeanor at all times.
- Availability: Flexibility to work outside regular business hours and travel with the Division President as needed.
