Area of Responsibilities:
The Marketing Coordinator will have experience in a wide range of marketing functions including communications, branding, digital and social media. The marketing coordinator must be an organized multi-tasker, able to handle many diverse projects simultaneously and meet tight deadlines.
The Executive Assistant provides key support to enhance the effective and efficient execution of accountabilities by the executive team. As a key contributor to the company’s executive team, this position has access to, and is trusted with confidential information related to all company activity.
Marketing Coordinator Accountabilities:
- Administer content updates and optimization to internal and external company web pages, app, and social media accounts.
- Develop and administer the company’s Marketing Calendar.
- Develop and distribute customer facing communications, including email blasts, marketing collateral and presentations.
- Assist others with projects as needed.
- Other duties as assigned.
Executive Assistant Accountabilities:
- Provide day-to-day administrative support for Senior Leadership team, Business Managers, Product Managers, and Sales Team with complete confidentiality.
- Maintain and coordinate all executive calendars, necessitating the highest degree of flexibility, urgency, and creativity in independently resolving scheduling conflicts.
- Arrange travel for Senior Leadership team, Business and Product Managers and other office personnel as needed, often on short notice, with high demand for calendar adjustment and very tight time tolerances, including domestic and international air, hotel and ground transportation.
- Plan and coordinate onsite and offsite leadership meetings, National Sales Meetings, regional meetings, office functions, training, staff meetings, including creating the agenda, presentation collection & compilation, evaluating venues, negotiating rates and terms, arranging transportation and off-hours entertainment or events, signing contracts, arranging for meals and communicating details to participants and managing event budgets.
- Prepare Senior Leadership team monthly expense reports, conduct reconciliation and resolve discrepancies.
- Create reports, documents, and spreadsheets; create and edit PowerPoint presentations for the office and sales teams.
- Execute communications (simple).
- Follow up on priority communications, proof correspondence, and marketing pieces for correct spelling, grammar, and trademark usage.
- Communicating regularly with clients, vendors and contractors scheduling meetings and addressing concerns.
- Communicate with key external stakeholders including customers as it pertains to high-level meetings.
- May be a backup to the Accounting and Finance Team with AP invoices if time allows.
Required skills:
- Experience in marketing coordination or similar role.
- Knowledge of traditional and digital marketing, content marketing and social media marketing.
- Naturally organized manager of tasks and priorities.
- Process oriented – organized, methodical, capable of prioritizing.
- Independent, initiator, self-starter – works without oversight.
- Has a confident “figure things out” mindset with limited guidance.
- Proactive and assertive personality with a results orientation.

Physical Demands & Work Environment
- Work is primarily performed in an indoor office setting with extended periods at a computer sitting or standing.
- Physical effort is needed to move, lift, or carry office equipment or supplies.
- Occasionally lift 10-15 lbs.
- Use of computer keyboard, mouse, calculator, and other office equipment.
