Summary:
The Executive Assistant is responsible for fulfilling administrative needs of the assigned executive leaders. This role performs or assists with administrative tasks of a confidential nature. The Executive Assistant documents agendas, provides notifications, takes minutes, gathers materials for meetings and coordinates events. This role also schedules, coordinates and organizes calendars, meetings and travel for assigned executives and others as assigned.
Responsibilities:
Assists assigned executive leaders. Types letters, reports, etc., from rough drafts or dictation, making changes in grammar, punctuation, and spelling as needed and proofing thoroughly. Maintains manuals, databases and files of assigned vice presidents and/or departments. Processes approved invoices & routes to accounting for payment on a timely basis. Tracks expenses as assigned, maintaining appropriate logs and obtaining approval for payment
Communicates, follows up and acts as a liaison with department heads and others regarding project and report data due to assigned executive leaders.
Ensures the smooth operation of office activities, including performing receptionist duties, retrieving, sorting and distributing mail, ordering supplies and maintaining supplies at par levels, keeping all office equipment in good repair and reporting equipment failures. Screens telephone calls and greets visitors to executive suite and provides routine information as needed.
Manages the calendars for assigned leaders and others as assigned. Schedules appointments & meetings, monitoring for double bookings and accuracy of documented information. Maintains accurate, comprehensive, current calendar of events for assigned vice presidents, noting deadlines, appointments, meetings, and significant dates, ensuring that timely reminders are issued so that adherence to the schedule occurs.
Coordinates and books travel arrangements, including airline, hotel, car rental, and conference registration for assigned executives as warranted by job functions.
Prepares agendas and distributes related materials for upcoming assigned board committee meetings. Attends assigned board and committee meetings for the purpose of taking minutes. Edit finished work for accuracy in grammar and punctuation.

Qualifications
Required
Associate's degree in Business Administration or similar, or an equivalent combination of education and experience.
Five (5) years of experience working as an administrative assistant or secretarial role.
Strong verbal and written communication
Preferred
Certified as a Notary Public in NC
