Executive Assistant Job Description:
Our company is looking to hire an Executive Assistant to aide executive staff by handling a wide variety of situations involving the administrative and operational functions of the office. Manages executive's calendar, meetings, travel, and correspondence.
To be a successful hire, you will need to have prior experience in office administration. You will also need to be proficient in Microsoft Office applications, such as Word and Excel.
Minimum 40 hours per week, including occasional weeknights, weekends, and holidays.
Start time at 8:00am: Monday – Friday. Occasional earlier start time possible.
Executive Assistant Responsibilities:
- Greeting visitors, answer incoming phone calls and delivering excellent service to our customers.
- Aides’ executive in staff capacity by handling a wide variety of situations involving the administrative and operational functions of the office.
- Manages executive's calendar and meetings.
- Coordinates travel, including flight, hotel, and car rental reservations.
- May also monitor executive's budget, as well as research and prepare reports.
- Maintain polite and professional communication via phone, e-mail, and mail.
- Understands and supports the company's sales policies and procedures to provide proper and effective treatment to all customers.
- Processes customer information on computer system in an efficient manner to provide quality service. -Use of Traverse - Maintains and updates customer information in computer database.
- Be aware and comprehend all FDA guidelines pertaining to Tobacco products. Must adhere to all regulations!
- Must be willing to travel and participate in out of state trade shows.
- Performs other related duties as assigned.
Executive Assistant Requirements:
- An associate's degree or equivalent.
- Five years of experience in office administration
- Exceptional organizational skills and multi-tasking ability
- Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
- Attention to detail.
- Desire to be proactive and create a positive experience for others.
- Completion of background investigation and drug screening.
- Stand, sit, or walk for an extended period or for an entire work shift.
- Move, lift, carry, push, pull, and place objects weighing less than or equal to 20 pounds without assistance.
- Highly organized, attentive, and flexible in a fast-paced environment.
